Job Summary
This position is a full time position reporting to the Village Administrative Building at 1050 Royal Palm Beach. The hours of the position are generally Monday - Friday, 8 a.m. - 5 p.m.The starting pay for the position will be dependent upon qualifications and experience. The Range is approximately $51,000 - $64,000. The Village is an FRS agency and as such a mandatory 3% contribution by the employee is required.
Job Description:
Performs specialized accounting functions primarily related to accounts payable. Ensures the accurate and timely processing of vendor invoices in compliance with applicable laws, policies, and procedures, while maintaining complete and well-organized financial records. Works collaboratively with internal departments and external vendors to research and resolve discrepancies, supports month-end and year-end closing processes, and assists with audits and financial reporting, as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
· Reviews vendor invoices to verify compliance with purchasing policies, confirm required supporting documentation is provided, and ensure transactions are accurately recorded to the appropriate general ledger accounts.
· Processes vendor invoices and matches them with purchase orders and receipts.
· Processes check requests and invoices that are not supported by a purchase order, ensuring proper review and system entry.
· Review accounting reports to confirm accounts payable transactions are recorded accurately and in accordance with established procedures.
· Prints check payments, secures authorized signatures, and distributes checks to vendors in accordance with established procedures.
· Manages petty cash transactions and ensures accurate recordkeeping.
· Maintains accurate records of payments and documentation in proper files.
· Reviews expense reports and tuition reimbursement paperwork for accuracy and documentation.
· Respond to vendor and department inquiries regarding payment status and resolves any payment discrepancies.
· Receives and reviews Home Depot and Lowe’s statements, matches receipts to supporting documentation, and submits transactions for processing.
· Reconciles Florida Power & Light and Palm Beach County Water statements, analyzes usage patterns for anomalies, reviews results with departments, and documents and follows up on any irregularities.
· Runs monthly reports and reconciles accounts payable module to general ledger.
· Scans all documents to Laserfiche.
· Drives to the Village banking institution and makes the daily deposit.
· Provides support for finance roles as needed.
DESIRED MINIMUM QUALIFICATIONS:
Education and Experience:
· High School Diploma or equivalent
· Preferred Associates Degree with a major in accounting or related discipline or equivalent training.
· At least two (2) years in bookkeeping and/or accounting, preferably with governmental accounting;
· An equivalent combination of education, training, and/or relevant experience may be considered.
Knowledge, Skills and Abilities:
· Working knowledge of clerical methods used in keeping fiscal accounts and records.
· Working knowledge of business math and bookkeeping.
· Working knowledge of governmental accounting standards.
· Basic knowledge of Florida Public Records, Chapter 119 of Florida Statutes.
· Ability to perform routine tasks involving data entry and computers.
· Working knowledge of using a computer, printer, scanner and software such as Microsoft Office Suite, as well as enterprise-level accounting and document management systems including ERP, Laserfiche, and other related software.
· Ability to establish and maintain effective working relationships with supervisors, other employees, and the general public.
· Ability to communicate effectively orally and in writing.
· Completion of NIMS Training as required
SPECIAL REQUIREMENTS:
Valid Florida State driver’s license, or ability to obtain one; No more than two (2) moving violations within the last 12-month period; No more than six (6) violation points on your license within the last 24 months.

In addition, the employee must be able to rotate the neck frequently, extend hands/arms overhead, and turn fully from a fixed stance. Employee must be able to drive a Village vehicle.
TOOLS & EQUIPMENT USED:
Computer, printer, scanner, calculator, copier, and other associated equipment. Specific computer software such as Microsoft Office, Laserfiche, current ERP system, and other miscellaneous programs.

While performing the duties of this job, the employee rarely works in outside weather conditions, but may be asked on occasion to work events or special functions outside, and may be occasionally exposed to hot, wet and/or humid outside conditions, cooler outside temperatures, toxic or caustic chemicals inside and outside, such as cleaning chemicals, and uneven grounds such as grassy areas. The noise level in the work environment is generally quiet when in the office, but may be moderately noisy on busy days or when outside.
