The Patient Advocate serves as the first point of contact for patients and is responsible for providing exceptional customer service while ensuring efficient front-office operations. This role includes patient registration, appointment scheduling, insurance verification, payment collection, account follow-up, and maintaining accurate patient records. The Patient Advocate promotes a positive, professional work environment while supporting the organization's commitment to outstanding patient care.
Essential Duties and Responsibilities
- Welcome and assist patients in a courteous, friendly, and professional manner.
- Register patients by obtaining accurate demographic and insurance information.
- Scan and upload patient identification, insurance cards, and required documentation.
- Ensure all registration forms and consents are completed accurately.
- Collect patient copays, deductibles, coinsurance, and outstanding balances in accordance with office policies.
- Reconcile daily payments and assist with daily financial balancing.
- Schedule patient appointments according to established office procedures.
- Run and review daily appointment schedules and reports.
- Verify patient account balances and educate patients regarding outstanding balances.
- Prepare patient charts prior to appointments and ensure completed charts are scanned accurately, including patient identification on all pages.
- Maintain patient records in compliance with HIPAA regulations and confidentiality standards.
- Maintain an organized and efficient front office, including monitoring office supply inventory.
- Travel to satellite office locations as needed to provide coverage.
- Participate in required staff meetings, training sessions, and continuing education.
- Support physicians, clinical staff, and management with administrative tasks as needed.
- Perform other duties as assigned.
Required QualificationsEducation
- High school diploma or GED required.
Experience
- Minimum of two (2) years of front desk or medical reception experience in a healthcare setting preferred.
- Experience with electronic medical records (EMR/EHR) systems preferred.
- Knowledge of medical insurance, copays, deductibles, and patient account management preferred.

Work Environment
This position is performed in a medical office setting requiring frequent interaction with patients, physicians, and staff. The Patient Advocate is expected to maintain a positive attitude, demonstrate professionalism, and contribute to a collaborative team environment while delivering exceptional patient service.
