Job Position Description
The Billing & Service Coordinator is responsible for overseeing client billing, accounts payable, accounts receivable, vendor billing, and supporting our daily service operations. This position serves as a key point of contact for both clients and vendors while ensuring invoices, payments, and service requests are handled accurately and efficiently.
This role is ideal for someone who has accounting experience but also enjoys interacting with clients and helping solve problems.
Responsibilities
Accounting & Billing
- Prepare and send client invoices
- Manage Accounts Receivable collections
- Process Accounts Payable and vendor invoices
- Reconcile vendor bills and client billable expenses
- Review job costing for accuracy
- Process membership billing
- Assist with month-end billing activities
- Work within QuickBooks Online and Airtable
- Maintain accurate financial records
Service Coordination
- Coordinate handyman and vendor scheduling
- Communicate with clients regarding appointments and project updates
- Open and manage service requests
- Follow up on outstanding work orders
- Coordinate estimates, approvals, and vendor invoices
- Ensure jobs are completed before billing
- Maintain accurate client records
Client Experience
- Provide exceptional customer service
- Respond professionally to phone calls, emails, and text messages
- Resolve client concerns promptly
- Build strong relationships with homeowners and vendors
- Represent Manorly with professionalism and attention to detail
Qualifications
- 3+ years of accounting, bookkeeping, or billing experience
- Experience with Accounts Payable and Accounts Receivable
- Experience with QuickBooks Online preferred
- Experience in a service business (home services, construction, HVAC, plumbing, property management, restoration, etc.) strongly preferred
- Excellent written and verbal communication
- Highly organized with exceptional attention to detail
- Comfortable learning new technology
- Experience with Airtable, CRM software, or scheduling software is a plus
- Ability to prioritize multiple projects in a fast-paced environment
- Experience in a home service or construction industry preferred
