Bladder & Bowel Institute is a world-class healthcare organization dedicated to helping individuals regain control over bladder and bowel health. We host over 1,200 educational outreach events annually across Arkansas, Missouri, Oklahoma, Kansas, Tennessee, Texas and Louisiana and we are committed to patient education, community outreach, and consistent event execution.
This role is a hands-on position designed to support events. This position will focus on event coordination, venue support, event preparation, inventory and materials tracking, vendor communication, and administrative execution related to educational outreach events.
This is not a marketing, social media, graphic design, or digital advertising role. The goal is to fully integrate this person into BBI’s event operations processes and develop them for a potential full-time event operations role based on performance, business needs, and market expansion.
Key Responsibilities
Event Operations & Venue Coordination
· Assist with venue sourcing, outreach, follow-up, and availability tracking for educational events.
· Support event booking preparation, venue confirmations, room setup requirements, meal counts, AV needs, parking details, and other logistical requirements.
· Maintain accurate event details in internal trackers, calendars, spreadsheets, and shared folders.
· Track venue responses, open items, pricing, contracts, deposits, cancellation terms, and contact information.
· Help identify potential venue issues, scheduling conflicts, or operational gaps and escalate them to Event Operations Coordinator as needed.
Pre-Event Preparation & Materials Support
· Coordinate with internal team members, warehouse contacts, and vendors to help ensure event materials are available and shipped or delivered on time.
· Track inventory needs, supply levels, event kits, and replenishment requests.
· Support weekly preparation for upcoming events, including confirming reservations, venue information, and any special instructions.
Post-Event Documentation & Reporting Support
· Update event trackers and reporting documents accurately after each event.
· Assist with basic event summaries, venue feedback, issue tracking, and recurring reporting related to event operations.
· Help maintain organized records so the team can evaluate venue performance, event readiness, and operational consistency.
Administrative & Cross-Functional Event Support
· Provide administrative support to the event operations team.
· Support communication between event operations, Educational Outreach Team Leads, patient engagement, vendors, and leadership when the communication is event-related.
· Maintain organized folders, files, templates, calendars, contact lists, and documentation related to event operations.
· Assist with special projects tied to new market launches, event process improvement, venue organization, and event scalability.
Qualifications
· Currently pursuing or completed coursework in business, event management, hospitality, operations, communications, healthcare administration, or a related field. AAS preferred.
· Strong organizational skills and attention to detail.
· Comfortable handling administrative, coordination-based, and deadline-driven tasks.
· Strong written and verbal communication skills.
· Ability to work independently in a remote environment while staying closely aligned with Event Operations Coordinator and the broader event team.
· Comfortable using spreadsheets, shared folders, calendars, email, and internal tracking tools.
· Professional, dependable, and comfortable supporting healthcare education events where patient experience and operational consistency are important.
Compensation & Structure
· $18-$21/hour
· Part-time; 15-20 hours per week
· Potential to transition into a full-time role based on performance and business needs.
· Travel expectations, mileage, and related reimbursements to follow company policy.
