NOVA Community Services is seeking a compassionate, organized, and dependable Administrative Coordinator to join our new Youth Crisis Center. This position is often the first and last interaction families have with our center, making it a vital part of creating a welcoming, supportive experience for children and adolescents experiencing a behavioral health crisis.
Please Note: This position is located within a Youth Crisis Center. Staff work alongside clinicians and nursing personnel in an environment serving children and adolescents experiencing behavioral health and mental health crises. Applicants should be comfortable working in this setting while maintaining professionalism, compassion, and composure.

Position Summary
The Administrative Coordinator provides administrative and operational support for the daily functions of the Youth Crisis Receiving Center. This individual will assist with client intake and discharge processes, answer phones, greet families and referral sources, coordinate communication with community partners, and support outreach and marketing initiatives. This position plays a critical role in ensuring clients and families receive a positive, welcoming experience from the moment they enter our center.
Essential Responsibilities
- Welcome clients, families, visitors, and referral sources with professionalism, compassion, and respect.
- Assist with client intake, registration, and discharge processes.
- Answer and direct incoming phone calls in a courteous and timely manner.
- Maintain accurate client records and complete administrative documentation.
- Coordinate calls to community agencies, referral partners, and service providers to help identify appropriate resources and follow-up services for clients.
- Assist clinical staff with administrative needs throughout the day.
- Prepare, organize, and distribute marketing materials and informational packets.
- Make outreach and marketing calls to community partners, schools, hospitals, physician offices, and behavioral health providers.
- Assist with community mailings, outreach efforts, and special events.
- Maintain an organized, clean, and welcoming reception area.
- Monitor office supplies and notify leadership when inventory is needed.
- Protect client confidentiality and comply with HIPAA and all applicable privacy regulations.
- Perform other administrative duties as assigned.
QualificationsRequired
- High school diploma or GED.
- Ability to begin employment immediately.
- Cannot have any barrier crimes preventing employment in accordance with Virginia laws.
- Must pass background, central registry, and OIG checks.
- Excellent customer service and interpersonal skills.
- Strong organizational and multitasking abilities.
- Reliable transportation and dependable attendance.
- Must be punctual, reliable, and committed to maintaining a consistent work schedule.
- Comfortable using Microsoft Office and learning electronic health record systems.
- Must be comfortable working in a behavioral health crisis environment where children and adolescents may be experiencing acute mental health or behavioral health emergencies.
- Ability to remain calm, professional, compassionate, and composed during crisis situations while maintaining a welcoming environment for clients, families, and visitors.
