Position Overview
GSA is seeking a highly motivated, organized, and experienced Assistant Coach & Athletic Program Administrator to work directly with the Director in the development, operation, and growth of the athletic program.
This is a dual-role position combining hands-on coaching and athlete development with day-to-day administrative and operational responsibilities. The successful candidate will be actively involved in practices, training, athlete development, and competition while also supporting the Director with scheduling, communication, program organization, recruiting, records, events, equipment, and other administrative functions.
This individual will serve as an important member of the athletic leadership team and will work closely with the Director to ensure that the program operates efficiently, professionally, and consistently with GSA's goals and standards.
Key ResponsibilitiesCoaching & Athlete Development
- Assist the Director and coaching staff with the planning and implementation of practices and training sessions.
- Coach and train athletes in technical skills, fundamentals, conditioning, strategy, and overall performance.
- Provide individualized instruction and feedback to athletes.
- Help develop training plans and athlete development programs.
- Assist with team practices, competitions, tournaments, camps, clinics, and other athletic events.
- Evaluate athlete performance and communicate progress and areas for improvement to the Director.
- Help create a positive, competitive, disciplined, and supportive team environment.
- Serve as a positive role model and mentor for athletes.
- Promote sportsmanship, accountability, teamwork, and professionalism.
- Assist with athlete evaluations, tryouts, team selection, and placement as directed by the Director.
Athletic Administration
Working directly with the Director, the Assistant Coach & Athletic Program Administrator will assist with the daily administration and organization of the athletic program, including:
- Assist with athletic scheduling, including practices, games, competitions, tournaments, and special events.
- Maintain accurate team, athlete, and program records.
- Assist with registration, eligibility, forms, rosters, and other athlete documentation.
- Coordinate and communicate schedules and program information to coaches, athletes, families, and other relevant parties.
- Assist with organizing transportation, facilities, equipment, officials, and other logistical needs.
- Maintain and monitor athletic equipment, uniforms, supplies, and inventory.
- Assist with purchasing and tracking athletic supplies and equipment.
- Help prepare schedules, calendars, reports, spreadsheets, and other administrative documents.
- Assist with game-day and event-day operations.
- Help coordinate camps, clinics, showcases, tournaments, and other GSA athletic events.
- Assist with communication and follow-up with athletes, families, coaches, facilities, and outside organizations.
- Support the Director with projects and initiatives designed to improve and grow the athletic program.
- Help identify operational issues and take initiative to resolve them in coordination with the Director.
Program Development & Recruiting
- Assist the Director with the growth and development of GSA's athletic programs.
- Assist with athlete recruitment and outreach.
- Help build relationships with athletes, families, clubs, schools, coaches, and community organizations.
- Assist with recruiting events, showcases, camps, clinics, and informational sessions.
- Help promote GSA's athletic programs and opportunities.
- Identify opportunities to improve athlete participation, retention, development, and overall program experience.
Communication & Team Support
- Maintain professional and timely communication with athletes, families, coaches, and program partners.
- Assist the Director in communicating important program information and updates.
- Help address routine questions and operational issues, escalating matters to the Director when appropriate.
- Attend staff meetings and participate in program planning.
- Work collaboratively with all GSA coaches and staff.
- Maintain confidentiality and professionalism in all interactions.
Relationship With the Director
This position will work directly with the Director and will serve as a key support person for both the coaching and administrative sides of the program.
The Assistant Coach & Athletic Program Administrator will help translate the Director's vision and priorities into day-to-day action, allowing the Director to focus on overall program leadership, strategic development, and long-term growth.
The ideal candidate will be someone who can coach, organize, communicate, problem-solve, and take ownership without needing to be directed through every task.

Qualifications
Required:
- Previous coaching experience.
- Strong knowledge and understanding of the applicable sport.
- Excellent communication and organizational skills.
- Ability to work effectively with athletes of varying ages and skill levels.
- Ability to work evenings, weekends, competitions, tournaments, and special events as required.
- Ability to successfully complete any required background checks, certifications, or safety requirements.
Preferred:
- Experience working in an athletic program, school, club, academy, or similar organization.
- Experience with athletic administration or program coordination.
- Experience with scheduling, registration, recruiting, or event management.
- Experience working directly with a Director, Athletic Director, or program administrator.
- Relevant coaching certifications.
- College degree or coursework in sports management, education, kinesiology, physical education, or a related field.

The successful candidate will become a trusted extension of the Director—someone who can step onto the court/field/facility to coach and train athletes and then transition seamlessly into handling schedules, communication, logistics, records, events, and other program responsibilities.
This is a hands-on leadership position for someone who enjoys both coaching and building a successful athletic program.
Job Type: Part-time
Pay: $7,000.00 - $10,000.00 per year
