Position Summary
The Practice & Finance Operations Manager is responsible for overseeing the day-to-day operations and financial management of the medical practice. This individual ensures efficient practice operations, strong financial performance, effective revenue cycle oversight, and exceptional patient and staff experiences.
Reporting directly to the Practice Owner, the Practice & Finance Operations Manager is responsible for running the business operations of the practice, including financial reporting, budgeting, forecasting, operational performance, vendor management, and staff oversight. The role provides regular financial analysis and projections to the owner and helps identify opportunities to improve profitability, efficiency, and growth.
The ideal candidate will have experience managing healthcare operations while maintaining a strong understanding of financial reporting, budgeting, and revenue cycle management. This position requires a hands-on leader who can effectively oversee daily operations while also monitoring the financial health of the organization.
Required Qualifications
- Minimum 5 years of experience in a medical practice, healthcare administration, healthcare finance, or practice management role
- Minimum 2 years of supervisory or management experience
- Strong understanding of medical billing, insurance reimbursement, and revenue cycle management
- Experience with budgeting, financial reporting, forecasting, and operational performance tracking
- Expert-level proficiency in QuickBooks, including financial reporting, budgeting, and account reconciliation
- Strong analytical, organizational, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced healthcare environment
- Excellent communication and leadership skills
Preferred Qualifications
- Bachelor's degree in Healthcare Administration, Business Administration, Finance, Accounting, or related field
- Experience managing operations in a multi-provider medical practice
- Experience with eClinicalWorks (eCW) EMR and practice management systems
- Knowledge of payer contracting, credentialing, and healthcare compliance
- Experience working with outsourced billing, accounting, and revenue cycle vendors
Key ResponsibilitiesFinancial Management
- Prepare and review monthly financial reports and key performance indicators
- Monitor revenue, expenses, profitability, and cash flow
- Develop annual budgets, forecasts, and financial projections
- Meet regularly with the Practice Owner to review financial performance and business goals
- Identify trends, risks, and opportunities impacting practice profitability
- Oversee accounts payable, vendor contracts, and operational expenses
- Coordinate with accounting, payroll, and billing vendors to ensure accurate financial reporting
- Assist with strategic planning and practice growth initiatives
Revenue Cycle Oversight
- Monitor billing performance, collections, and reimbursement trends
- Review accounts receivable, aging reports, denials, and collection metrics
- Work closely with billing teams to maximize revenue and resolve operational issues
- Track financial and operational metrics to ensure practice goals are achieved
- Identify and implement revenue cycle improvement opportunities
Practice Operations
- Oversee all day-to-day operations of the practice
- Manage administrative staff and operational workflows
- Ensure efficient scheduling, patient flow, and customer service standards
- Develop and implement operational policies and procedures
- Monitor productivity and operational performance metrics
- Address operational challenges and implement process improvements
- Manage vendor relationships and office resources
- Support provider onboarding and operational training
Leadership & Team Management
- Supervise administrative and operational staff
- Conduct performance evaluations and provide coaching and development
- Assist with recruiting, hiring, onboarding, and retention efforts
- Foster a positive, professional, and accountable workplace culture
- Ensure staff adherence to practice policies and procedures
