The Job
The Growth Operations & CRM Specialist is responsible for maintaining and improving the systems, data, dashboards, and processes that support DIZPOT’s Growth Team.
This role serves as a key individual contributor responsible for managing lead infrastructure, administering HubSpot functions, developing and maintaining performance dashboards, analyzing data in Excel, and translating Growth Team activity into accurate and actionable reporting.
The ideal candidate is highly organized, analytical, detail-oriented, and comfortable managing their responsibilities with limited day-to-day oversight. This individual must be able to independently prioritize work, identify data or process issues, recommend solutions, and ensure that lead and growth information remains accurate, accessible, and useful.
Responsibilities
HubSpot Administration and CRM Management
- Serve as a primary day-to-day administrator and subject matter resource for Growth Team functions within HubSpot.
- Build, maintain, and optimize properties, lists, workflows, lead routing rules, forms, campaigns, lifecycle stages, and reporting structures.
- Develop and manage HubSpot dashboards that provide clear visibility into lead generation, lead quality, conversion activity, campaign performance, and Growth Team KPIs.
- Maintain accurate and consistent CRM records through routine data review, cleanup, standardization, deduplication, and quality-control processes.
- Identify system gaps, workflow breakdowns, and automation opportunities.
- Troubleshoot routine CRM issues and coordinate the resolution of more complex system needs.
- Document CRM processes, system configurations, naming conventions, and operating procedures.
- Support the continued improvement and adoption of HubSpot tools across applicable teams.
Lead Management and Process Oversight
- Manage inbound lead workflows and ensure leads are accurately categorized, assigned, and routed to the appropriate owner.
- Monitor lead response activity and identify leads requiring follow-up or additional action.
- Maintain lead status, source, ownership, lifecycle, and disposition information.
- Review lead records for completeness, accuracy, duplication, and appropriate classification.
- Support lead nurturing activities and maintain the lists and workflows used for ongoing engagement.
- Assist in identifying net-new, incremental, association-based, and targeted market opportunities.
- Evaluate lead management processes and recommend improvements that increase consistency, visibility, and accountability.
- Coordinate with applicable Growth and Sales stakeholders to resolve lead ownership or data-quality issues.
Dashboard Development and Performance Reporting
- Design, build, and maintain dashboards that allow stakeholders to monitor lead generation and Growth Team performance.
- Produce accurate weekly, monthly, quarterly, and ad hoc reports based on business needs.
- Track lead volume, lead sources, lead quality, response activity, conversions, pipeline movement, campaign results, and other established KPIs.
- Validate dashboard data against source records and investigate discrepancies before distributing reports.
- Present findings in a clear format that enables stakeholders to understand performance, trends, risks, and opportunities.
- Translate raw CRM and spreadsheet data into concise summaries and actionable insights.
- Establish repeatable reporting processes and maintain documentation for report definitions, data sources, calculations, and update schedules.
- Recommend dashboard or reporting enhancements as Growth Team needs evolve.
Excel Data Management and Analysis
- Manage, clean, organize, reconcile, and analyze lead and performance data using Microsoft Excel.
- Develop and maintain structured workbooks, trackers, reporting templates, and analytical tools.
- Use advanced spreadsheet functions to evaluate performance and identify meaningful trends or discrepancies.
- Create pivot tables, charts, summaries, and other data views that make complex information understandable.
- Combine and compare data from multiple sources while maintaining accuracy and consistency.
- Perform routine quality checks to identify missing, duplicate, inconsistent, or potentially inaccurate information.
- Maintain clear source documentation, version control, and standardized file structures.
- Improve recurring spreadsheet processes to reduce manual work and reporting errors.
Growth Operations Support
- Coordinate Growth Team projects, deliverables, reporting cycles, and operational deadlines.
- Maintain organized project records, working documents, dashboards, trackers, and process documentation.
- Support campaign tracking, event preparation, post-event lead follow-up, and other Growth Team initiatives.
- Coordinate information and deliverables across departments when Growth Team projects require cross-functional support.
- Monitor assigned responsibilities and proactively communicate risks, delays, dependencies, or unresolved issues.
- Support the development and implementation of standardized Growth Team processes.
- Complete special projects and ad hoc analysis based on departmental priorities.

Skills and Qualifications
- Demonstrated proficiency using HubSpot CRM, including records, properties, lists, workflows, reporting, dashboards, and lead-management functions.
- Demonstrated ability to develop, maintain, and improve dashboards and recurring reports.
- Strong proficiency in Microsoft Excel, including formulas, data organization, filtering, sorting, pivot tables, charts, data validation, and data reconciliation.
- Experience managing, reviewing, and analyzing large or complex datasets.
- Strong organizational skills and exceptional attention to detail.
- Ability to independently manage competing priorities, recurring responsibilities, and project deadlines.
- Strong analytical and problem-solving skills with the ability to identify discrepancies, investigate causes, and recommend solutions.

Pay: $50,000.00 - $55,000.00 per year
