Position Summary
We are seeking a highly organized and detail-oriented Office Biller to join our team. The ideal candidate will have experience in progress billing, invoicing, permit processing, andproject administration. This position plays a critical role in ensuring accurate billing, maintaining permit documentation, and supporting multiple active projects.
The successful candidate must be able to manage numerous jobs simultaneously, work efficiently in a fast-paced environment, read maps and site plans, and maintain a high level of accuracy while meeting deadlines.
Essential Duties and Responsibilities
- Prepare, review, and process invoices accurately and in a timely manner.
- Manage progress billing for multiple projects, ensuring billing is completed according to project milestones and contract requirements.
- Track project costs, billing schedules, payments, and outstanding balances.
- Submit, track, and maintain permits and related documentation.
- Read and interpret maps, site plans, utility drawings, and project documents.
- Coordinate with project managers, customers, municipalities, and field personnel regarding project status, billing, and permitting requirements.
- Verify billing information and resolve discrepancies promptly.
- Monitor accounts receivable and assist with collections when necessary.
- Maintain accurate records of invoices, permits, project files, and customer communications.
- Perform data entry, filing, record management, and general administrative duties.
- Ensure compliance with company policies, contract requirements, and permitting regulations.
- Prioritize and manage multiple projects and deadlines in a fast-paced environment.
- Assist with reporting and provide administrative support to management as needed.
Qualifications Required
- Minimum of 2 years of billing, invoicing, or office administration experience.
- Experience with progress billing and managing multiple jobs simultaneously.
- Strong attention to detail and accuracy.
- Ability to read and interpret maps, site plans, and project documents.
- Excellent organizational and multitasking skills.
- Strong communication and customer service skills.
- Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
- Ability to work independently and as part of a team.
- Ability to meet deadlines and perform effectively in a fast-paced environment.
Preferred
- Experience in construction, utility, engineering, telecommunications, or a project-based industry.
- Experience with permit applications, processing, and tracking.
- Knowledge of accounting software, ERP systems, or project management software.
- Familiarity with accounts receivable processes and collections.
