Job Summary
The Recruitment Coordinator is responsible for all aspects of caregiver recruitment, with an emphasis on attracting qualified candidates, managing the hiring and onboarding process, and supporting the successful transition of new hires into active employment. This position manages CareerPlug as the agency's primary recruitment and applicant tracking platform and works collaboratively with the team to address current and anticipated staffing needs.
A key responsibility of this role is maintaining complete, organized, compliant, and audit-ready employee personnel files, including proactively identifying and resolving missing, incomplete, or expired documentation. The Recruitment Coordinator also participates in the agency's rotating after-hours on-call schedule, assisting with urgent caregiver, client, and scheduling needs as assigned.
Reports to: Operations Manager
Recruitment & Hiring
- Manage the caregiver recruitment process from application through interview, hire, and orientation.
- Screen applicants, conduct interviews, complete reference checks, and extend conditional offers to qualified candidates.
- Coordinate new-hire documentation, onboarding, and orientation.
- Collaborate with the scheduling and management team to identify current and anticipated staffing needs.
- Maintain timely and professional communication with applicants throughout the hiring process.
- Support caregiver recruitment and retention efforts, including job fairs, referral programs, community partnerships, and other recruiting initiatives.
- Track recruitment activity and provide regular updates on applicants, interviews, hires, and staffing needs.
CareerPlug Management
- Serve as the primary coordinator of CareerPlug, the agency's main recruitment and applicant tracking platform.
- Maintain job postings, applicant records, hiring workflows, and candidate communication within CareerPlug.
- Ensure applicant statuses and recruitment activity remain accurate and current.
- Monitor recruiting sources and results to identify opportunities to improve applicant flow and hiring effectiveness.
Employee File & Audit Management
- Create and maintain complete, accurate, organized, and audit-ready caregiver personnel files.
- Complete routine file reviews and identify missing, incomplete, or expired documentation.
- Follow up with caregivers to obtain outstanding or updated documentation.
- Ensure required documentation is properly maintained in agency software and personnel files.
- Assist with internal file audits and preparation for licensing, regulatory, or other external reviews.
- Communicate unresolved compliance concerns to management and follow deficiencies through resolution.
- Maintain confidentiality of all personnel information.
After-Hours On-Call
- Participate in the agency's rotating after-hours on-call schedule, including evenings, weekends, and/or holidays as assigned.
- Respond professionally to caregiver call-offs, scheduling concerns, client needs, and other time-sensitive situations.
- Follow established procedures for documentation, escalation, and communication of after-hours concerns.
QUALIFICATIONS & SKILLS
- Previous recruiting, human resources, healthcare administration, or related experience preferred.
- CareerPlug experience preferred.
- Experience with applicant tracking systems, employee file management, compliance, or audit preparation preferred.
- Home care or healthcare experience preferred.
- Strong organizational skills and attention to detail.
- Excellent communication, time management, and follow-through.
- Ability to manage multiple priorities and work independently with minimal supervision.
- Ability and willingness to participate in the rotating after-hours on-call schedule.
- Valid driver's license, reliable transportation, and required automobile insurance.
GENERAL EXPECTATIONS
The Recruitment Coordinator is expected to demonstrate professionalism, accountability, sound judgment, and a commitment to maintaining effective recruitment and compliant employee records. The employee must maintain regular attendance and comply with all applicable company policies and federal, state, and local requirements.
Pay: From $24.00 per hour
