Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar coordination
- Plan and execute company events, meetings, and team-building activities to promote engagement and morale
- Supervise administrative staff, providing training and development to enhance team performance
- Manage vendor relationships for office supplies, equipment maintenance, and service contracts to ensure seamless operations
- Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes using QuickBooks or similar software
- Oversee budgeting and bookkeeping activities to track expenses and optimize resource allocation
- Maintain organized filing systems, manage document retention policies, and ensure compliance with company policies
- Support medical or specialized office management tasks if applicable, including appointment scheduling and patient record handling
- Ensure excellent communication across departments through effective schedule management and clear phone etiquette
Experience
- Proven supervisory experience in an office environment with demonstrated leadership skills
- Strong background in administrative tasks such as filing, clerical work, and calendar management
- Experience with event planning from logistics to execution for corporate or community events
- Proficiency in QuickBooks for payroll processing and financial recordkeeping
- Familiarity with vendor management, budgeting, bookkeeping, and human resources functions
- Prior experience managing multi-line phone systems and front desk operations in a fast-paced setting
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Effective communication skills with a professional phone etiquette and team management capabilities
- Knowledge of medical office management or specialized administrative roles is a plus but not required
