Title: Admin/Payroll Specialist
Reports to: HR Director
Location: Central Florida
Job Summary:
We are seeking a highly organized, detail-oriented, and dependable Administrative & Payroll Specialist to join our team. This role is responsible for managing payroll operations, overseeing employee timekeeping, coordinating with our payroll provider (Paychex), handling daily administrative tasks, managing incoming mail, and assisting with company insurance matters. The ideal candidate is proactive, confidential, and able to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities:
· Process and manage payroll accurately and on schedule.
· Review and monitor employee timecards daily to ensure accuracy and resolve discrepancies.
· Communicate with Paychex regarding payroll processing, employee updates, tax questions, deductions, and payroll-related issues.
· Maintain payroll records and ensure compliance with company policies and applicable regulations.
· Assist employees with payroll-related questions and concerns.
· Retrieve incoming mail daily.
· Sort and distribute mail to the appropriate departments and personnel.
· Maintain organized employee and company records
· Prepare, file, and maintain administrative documents
· Answer phone calls, emails, and assist with general office communications.
· Provide administrative support to management and other departments.
· Coordinate and manage employee insurance enrollments, changes, and terminations.
· Serve as the point of contact for insurance providers and brokers.
· Maintain accurate insurance records and documentation.
· Assist employees with benefit and insurance-related questions.
· Ensure timely submission of required insurance paperwork.
· Assist with the onboarding process for new employees, including preparing new hire paperwork and coordinating orientation.
· Maintain accurate and confidential employee personnel files and HR records.
· Coordinate employee onboarding, offboarding, and employment status changes.
· Assist with recruiting activities, including posting job openings, scheduling interviews, and communicating with candidates.
· Assist the accounting team with administrative and accounting-related tasks as needed.
Job Qualifications:
· Previous experience in payroll, administrative support, or office management preferred.
· Knowledge of employee benefits and insurance administration
· Strong organizational and time management skills.
· Excellent attention to detail and accuracy.
· Proficient in Microsoft Office (Word, Excel, Outlook)
· Strong verbal and written communication skills
· Extremely detail oriented
· Excellent written, verbal and organization skills required
· Self-starter
· Ability to work independently and as part of a team
· Must be able to pass a criminal background check and drug test
· Must have a valid driver’s license and clean driving record
· Flexibility to work mandatory overtime to meet business needs.
