Job Overview
We are seeking a detail-oriented and patient-focused Administrative Medical Assistant to join our front desk team. This role is essential to the daily flow of a busy, multi-provider medical office and serves as the first point of contact for patients. Success in this position requires strong multitasking skills, situational awareness, clear communication, and the ability to pivot quickly throughout the day.
This role focuses on supporting providers, coordinating patient care logistics, and ensuring an exceptional patient experience from check-in to check-out. The position reports to the office managers and works closely with clinical and administrative team members.
Key Responsibilities
- Greet patients at arrival and assist with the check-in and check-out process
- Answer phones promptly and professionally, assisting patients efficiently while remaining attentive to in-office needs
- Schedule appointments and manage provider calendars while anticipating potential scheduling conflicts
- Collect copays, deductibles, and other patient payments
- Prepare, review, and file patient paperwork accurately within patient charts
- Maintain cleanliness and readiness of the lobby and treatment rooms
- Obtain vitals and assist with in-office therapies as needed
- Navigate and utilize multiple EHR/EMR and practice management systems
- Assist with insurance-related tasks such as verifying benefits and collecting required patient payments

Technical Skills (Required)
- Moderate proficiency with Windows-based computers
- Experience with basic software such as Microsoft Word, Excel, Teams, or similar programs
- Comfortable learning and using new technology systems
Preferred Skills (Not Required)
- Familiarity with medical insurance concepts (deductibles, copays, coinsurance)
- Experience taking vitals
- Experience managing complex scheduling for multiple providers
- Prior use of EHR/EMR systems such as Charm or ChiroTouch
- Experience with Microsoft 365 and/or Adobe products
