We are seeking a personable, organized, and motivated Clinical Research Recruitment and Marketing Coordinator to help connect potential participants with clinical research opportunities.
The primary focus of this position will be participant recruitment, telephone outreach, community awareness, and marketing. The ideal candidate will have healthcare or medical office experience that allows them to communicate comfortably with patients about medical conditions, medications, and basic study requirements.
Extensive marketing experience is not required. We are looking for someone who communicates well, learns quickly, follows detailed processes, and can help us develop effective ways to reach and engage potential research participants.
The preferred schedule is three to four days per week. A five-day schedule may be available for the right candidate based on experience, skills, and interest in taking on additional responsibilities.
Work Environment
This is an on-site position with standard business hours (Monday–Friday). Specific days can be requested, but will be consistent days week to week. As a small research site, our team values flexibility, ownership, and collaboration—team members take initiative and contribute across functions to support patient care and study success.
Position Overview
The Clinical Research Recruitment and Marketing Coordinator plays a central role in connecting potential participants with clinical research opportunities and increasing awareness of our studies within the community.
This position blends:
✔ Patient recruitment and phone pre-screening
✔ Patient communication and follow-up
✔ Recruitment marketing and community outreach
✔ Administrative and site support tasks as needed
This role often serves as the first point of contact for potential research participants and requires comfort discussing medical history, medications, and health conditions in a professional, accurate, and patient-centered manner.
The ideal candidate will have a healthcare background, strong communication skills, and an interest in recruitment and marketing. Extensive marketing experience is not required, but the candidate should be comfortable helping create content, managing outreach activities, and identifying ways to improve recruitment results.
Primary Responsibilities
1. Recruitment and Phone Pre-Screening
a. Conduct outreach calls and follow up with potential participants
b. Perform pre-screening interviews using study-specific inclusion and exclusion criteria
c. Review medical history, medications, diagnoses, and basic health information
d. Explain study opportunities and expectations using approved information
e. Coordinate screening appointments and provide appointment instructions
f. Maintain timely follow-up with interested potential participants
g. Document recruitment contacts, screening outcomes, and scheduling activity accurately
h. Escalate medical or eligibility questions to the appropriate clinical team member
2. Patient Communication and Engagement
a. Serve as a primary point of contact for potential participants during recruitment and pre-screening
b. Build rapport with individuals from a wide range of backgrounds
c. Answer routine questions about study participation and the screening process
d. Communicate professionally without pressuring individuals to participate
e. Assist with appointment reminders, scheduling updates, and recruitment follow-up
3. Marketing and Community Outreach
a. Assist with the development and implementation of recruitment-focused marketing campaigns
b. Create basic social media posts, email content, flyers, advertisements, and outreach materials
c. Use Canva or similar tools to create simple digital and printed content
d. Help maintain approved social media and website content
e. Support community outreach initiatives, including health fairs, local events, and informational sessions
f. Provide on-site support at outreach events, including setup, attendee engagement, and recruitment awareness
g. Identify potential community partnerships and new outreach opportunities
h. Track recruitment sources, campaign responses, and enrollment results
i. Contribute ideas for improving study awareness and participant enrollment
j. Coordinate with outside advertising or marketing vendors when needed
4. Data and Site Operations Support
a. Maintain accurate recruitment records, call lists, and screening outcomes
b. Assist with data entry, scanning, uploading, filing, and log maintenance
c. Help maintain organized electronic and paper recruitment records
d. Support supply tracking, mailings, scheduling, and general site operations as needed
e. Assist with additional clinical research or administrative responsibilities based on training and site needs
Minimum Qualifications
- Healthcare background, such as medical assistant, CNA, clinical assistant, pharmacy technician, emergency medical technician, or similar patient-facing experience
- Comfortable discussing medications, diagnoses, medical history, and health conditions over the phone
- Comfortable making frequent outbound calls and building rapport with a wide range of patients
- Strong verbal and written communication skills
- Strong organization, follow-through, and attention to detail
- Ability to manage multiple priorities in a fast-paced small-business environment
- Basic computer proficiency and willingness to learn new systems
- Ability to maintain confidentiality and handle sensitive health information appropriately
- Team-oriented and willing to assist with routine operational tasks as needed
Preferred Qualifications
- Prior experience in clinical research, patient recruitment, healthcare outreach, or medical scheduling
- Familiarity with inclusion and exclusion criteria or screening protocols
- Experience with digital marketing, social media, advertising, or content creation
- Experience using Canva or similar design tools
- Experience tracking marketing or recruitment results
- Strong general technology skills or an information technology background
- Experience with Microsoft 365, electronic medical records, customer relationship management systems, or web-based platforms
- Experience using AI tools to assist with content creation, marketing, data organization, workflow improvement, or other professional tasks
Schedule
- Three to four days per week preferred
- A five-day schedule may be available for the right candidate
- Work will primarily occur during normal weekday business hours
- Occasional flexibility may be needed for community outreach events or study recruitment activities

Compensation
- Hourly rate: $22 to $27 per hour, depending on healthcare, recruitment, marketing, technical, and clinical research experience
