Position: Patient Services Representative (Ambulatory Service Center) Reports to: Director of Surgical Services
Summary of Responsibilities: Perform surgery center clerical tasks such as typing, filing, and mail preparation and distributing. Relieve staff members of clerical work and minor administrative and business details by giving information to callers, composing and typing routine correspondence(using computer or word processor), reading and routing incoming mail, filing correspondence and other records, and other assigned clerical duties. Provide clerical, secretarial and receptionist support for the surgery center, independently and with minimal supervision. Perform other diverse duties as requested or required under the general and direct supervision of the Director and immediate supervisor.
Essential Job Functions
· Never leave the reception area unattended.
· Greets patients warmly
· Explains the approximate waiting time to see the physician as appropriate
· Greets patients, determines their needs and directs them accordingly
· Operates switchboard to relay, incoming, outgoing, and interoffice calls.
· Screens and refers incoming phone calls and surgery center visitors to ensure that accurate and timely communication is facilitated and that the surgery center is presented in a positive manner.
· Make copies of the days schedule and post it
· Input patient demographic information into the computer. The minimum amount of the information that should be entered in is the name, account number, and address.
· Update established patient information sheet at least semi-annually or when directed, on established patients and enter updated information into the computer.
· Responsible for preparation of the medical record for new patients.
· Review the next day’s charts and check for clinical reports from outside labs, etc.
· Maintain confidentiality of all current and former patients on the sign-in sheet. Check for completeness and bundle them for Patient Financial Services and/or Accounting department.
· Maintain appropriate levels of office supplies.
· Maintain proper attendance and punctuality to ensure that the surgery center is operated in an efficient and cost effective manner.
· Input all case histories for surgeries and give to Billing for processing.
· Prepare charts for Laser procedures
· Schedule laser patients and post-op appointments.
· Schedule laser patients and prepare fee sheets for Patient Financial Services
· Does not engage in gossip or other non-productive behavior as outlined in Employee Handbook and per departmental policies

Minimum Education Requirements
· High school diploma or GED.
Minimum Background Requirements
· One year previous experience or training in this or a related area.
· Completion of a medical assistant course at a Junior College is desirable.
· Previous patient contact in a medical practice would be an advantage.
Minimum Demonstrated Skills
· Proficiency on a PC
· Proficiency using a photocopier
· Proficiency handling multiple telephone lines
· Proficiency using a fax machine
Physical Requirements:
· Must be in good physical condition to withstand the medium to high levels of stress and demands of an physically and mentally active position.
· Manual dexterity, good eye-hand coordination, adequate vision and hearing needed in daily work.
· Must be able to reach for files/charts above shoulder height.
· Must have sufficient seeing ability to type on a computer, word processor, or calculator.
· Must be able to lift up to 50 pounds
· Sitting 60% of the time.
· Walking 15% of the time.
· Pulling charts 20%
· Bending and stretching pulling 15%
· Medical office environment
