We are a small, private WASC-accredited college preparatory middle and high school with campuses located in Albany and Walnut Creek, CA. We are seeking an administrative assistant for our Albany campus.Our school offers one-to-one and small group UC-approved classes with rolling admission throughout the school year and summer (year-round). We are a close-knit community, seeking a staff member who will fit in with our staff, faculty, and students. This job will allow you to handle a wide variety of tasks, will use all of your organizational and people skills, and is never boring! The ideal candidate would be a quick learner with great attention to detail and a high comfort level multi-tasking and working with a wide range of people. Experience working as a school administrator or registrar is a major plus!This is a full-time position for 40 hours per week (eight hours per day) Monday through Friday. Flexibility to start as early as 8:00 a.m. or end as late as 5:30 p.m. is preferred. Additional work may occasionally be requested outside of these hours.
We are seeking someone who has strengths in the following areas:

- Organization: Follows through with a wide range of tasks - will include multi-tasking and prioritizing. Can handle project planning and oversee long-range projects.
- Writing/Reading: Clear and detailed writer who is capable of composing mass and individual emails to parents, students, and teachers. Ability to proofread and compose official school documents.
- Technology: Familiar with online databases, work with Mac and PC, versed in Microsoft Office; comfortable with cloud-based team sharing apps including Google Drive, Docs, Sheets, and Calendar; comfortable with Skype.These additional skills are a plus.
-Transcripts: Comfortable working with academic transcripts, both in print and using electronic systems such as the Common Application and Parchment. Previous experience working with high school transcripts in the state of California is highly desirable.
-Basic printer, Mac, PC, and Google app maintenance and troubleshooting skills; experience with Adobe Creative Suite (Photoshop, InDesign); experience with Windows Server 2012 and local networking; familiarity with html, CSS, javascript, WordPress, and general website maintenance and design; experience with spreadsheet formulae and secure file sharing.
Job responsibilities may include:
- Designing polished documents to be used online and in print; proofreading and editing important documents and messages
- Overseeing and sharing online accounts and resources
- Answering phones and responding to emails
- Communicating with current and prospective families regarding registration procedures, policies, fees, etc.
- Processing paperwork, including data entry, scanning, and filing
- Maintaining inventory of textbooks and office supplies
- Issuing billing reminders, recording payments, distributing paychecks
- Coordinating school events
- Creating student ID cards, award certificates, diplomas
- Proctoring standardized tests
- Requesting, interpreting, and preparing official transcripts; communicating with parents and other registrars; tracking students' progress toward graduation
- Performing computer and printer troubleshooting and maintenance (hardware and software); administering a local network; performing website and shared document maintenance; backing up and restoring important data; helping other staff work effectively with technology
