Business Office Manager (Office + Inventory + Invoicing + Accountability)

Who we are
DAWG BUILT Fitness is a fast-moving fitness equipment company built on speed, accountability, and getting it done. We sell, ship, and install commercial equipment nationwide. We need a Business Office Manager who can run the office like a machine and keep every department honest.
The mission
You are the operations hub of the business. You make sure the office runs, inventory is accurate, invoices go out, money comes in, vendors are handled, and Sales + Ops are executing the process (not freelancing).
What you’ll do
- Run day-to-day office operations (admin, paperwork, coordination, internal communication)
- Own inventory accuracy (receiving, cycle counts, discrepancies, documentation)
- Manage invoicing and AR/AP workflows (invoices, deposits, balances due, vendor bills)
- Drive collections and keep AR clean (follow-up cadence, aging reports, cash-in visibility)
- Manage vendor relationships (contacts, terms, statements, dispute resolution)
- Keep Sales accountable to activity + process (follow-ups, quotes, deposits, pipeline hygiene)
- Ensure clean handoffs from Sales → Ops/Warehouse (no missing info)
- Track commitments and deadlines across departments and hold people accountable (including the Operations Manager)
- Build and enforce SOPs, checklists, and simple reporting so nothing depends on “tribal knowledge”
What success looks like (KPIs)
- Faster invoice turnaround (close/delivery → invoice sent)
- AR aging improves (fewer 30/60/90+ day balances)
- Inventory accuracy increases (cycle count accuracy %, fewer discrepancies)
- Vendor statements stay clean (on-time payments, fewer billing issues)
- Sales compliance improves (follow-up completion, pipeline hygiene, quote-to-deposit speed)
- Fewer preventable fire drills and missed handoffs
Requirements
- 3+ years in office management, operations admin, bookkeeping support, or similar
- Strong understanding of invoicing, AR/AP, and collections
- Strong spreadsheet skills (Excel/Google Sheets)
- Comfortable enforcing process and holding people accountable
- High integrity and attention to detail (you protect the cash and the truth)
Nice to have
- Inventory control experience (warehouse, logistics, equipment, construction)
- Experience with QuickBooks/Zoho/HubSpot-style systems
