Flight & Charter Coordinator

Schedule: Shift-based, including weekend coverage; specific shift structure set at hire (charter operations run 24/7, so nights and holidays may be required)
Compensation: $60,000 base + shift differential for nights, weekends, and holidays

We’re growing, and we’re looking for a Flight & Charter Coordinator to own our trips from the first inquiry to the moment the passengers walk off the aircraft.
The Role
This role owns the trip. When the desk is yours, you quote the inbound request, coordinate every detail of the trip, exercise operational control to release it, follow it to arrival, and solve whatever comes up along the way. It’s one continuous responsibility rather than a handoff between departments — the same person who wins the trip is the one who makes sure it goes right.
Quoting falls to you primarily on weekends and when the Charter Sales team is out of office. Active flights always take priority: when a live trip needs you and a quote is waiting, the aircraft in the air comes first.
You’re calm under pressure, obsessively organized, and comfortable making decisions that carry real responsibility.
What You’ll Do
- Respond to inbound charter inquiries (RFQs) quickly and professionally when the desk is yours — primarily weekends and when the Charter Sales team is out of office
- Source aircraft and pricing, build accurate quotes, and follow up persistently to convert quotes into booked trips
- Coordinate every detail of the trip: catering, FBO and ground handling, fuel, ground transportation, and passenger requirements
- Screen passengers in accordance with company and security requirements prior to departure
- Exercise operational control for assigned flights as delegated by the Director of Operations, consistent with company OpSpecs and 14 CFR Part 135
- Follow active flights from release to arrival; monitor weather, NOTAMs, TFRs, airport and FBO status, and crew duty/rest limits
- Communicate continuously with flight crews, clients, and vendors throughout each trip
- Manage irregular operations — delays, mechanical issues, weather, diversions, crew timeouts — and re-plan quickly to protect safety and the client experience
- Prioritize decisively when quoting and live-flight duties compete; active flights always come first
- Maintain accurate, complete trip records and ensure compliance with FARs, the company GOM, and OpSpecs
What You Bring
Required
- Understanding of Part 135 operations, flight following, and operational control
- Ability to be authorized by the Director of Operations to exercise operational control
- Sound judgment and composure under pressure; you make good decisions fast when a trip goes sideways
- Ability to move between client-facing sales work and operational execution without dropping either
- Obsessive attention to detail — small errors in this role have real operational and financial consequences
- Strong written and verbal communication with crews, clients, and vendors
- Willingness to work a shift-based schedule that includes weekends and may include nights and holidays
- Comfort learning and working primarily within proprietary software; you’ll coordinate trips and build quotes in Airpeggio, our in-house platform
Preferred
- Business aviation experience — highly preferred
- FAA Aircraft Dispatcher certificate
- Prior Part 135 flight coordination, dispatch, or scheduling experience
- Charter quoting or sales-support experience
