Hourly Rate: Based on the experience
Pay Period: Semi-monthly (1st and 16th of each month)
Office Hours: Monday to Friday, 8:30 AM – 5:00 PM (Includes a 30-minute unpaid lunch break)
Position Overview:
Unicare Health Services is seeking a proactive and organized Administrative Assistant to support the daily operations of our Home Health and Primary Home Care (PHC) departments in the Tyler, TX office. This position is essential to ensuring smooth office operations, accurate patient documentation, and support for clinical and billing teams.
Key Responsibilities:
Administrative & Office Support
- Serve as the first point of contact for visitors, patients, and providers.
- Answer and direct incoming phone calls; manage voicemails and follow-ups.
- Coordinate office communications and assist with interdepartmental support.
Patient Intake & Documentation
- Manage and process intake paperwork for new patients in Home Health and PHC programs.
- Track physician orders and maintain up-to-date documentation in patient files.
- Assemble and distribute admission packets and ensure accuracy in documentation.
Supplies & Admissions
- Monitor and manage patient supply inventory and coordinate timely distribution.
- Assemble and maintain complete admission packets for field clinicians.
- Ensure packets are up-to-date and compliant with current regulations.
Scheduling & Coordination
- Assist with scheduling patient visits and staff assignments.
- Support field staff with necessary forms and information to complete home visits.
- Coordinate follow-up calls and visit tracking with the clinical team.
Billing & Record Management
- Support billing cycles by ensuring complete and timely documentation.
- Assist with time tracking and visit logs to support payroll and billing teams.
- Coordinate with accounting and billing departments on PHC and VA related invoicing.
- Knowledge in Veterans affairs cordination and timesheets is a plus

Qualifications:
- High School Diploma or equivalent required; Associate’s degree preferred.
- 1+ year of experience in a healthcare administrative or front office role strongly preferred.
- Proficient in Microsoft Office (Word, Excel, Outlook); knowledge of EMR systems a plus.
- Strong communication and organizational skills.
- Bilingual (English/Spanish) preferred but not required.
- Ability to multitask, prioritize, and maintain accuracy under pressure.
