Responsibilities

The Charlotte Lab School Assistant Director of Operations will have responsibilities in support of Lab’s operations vision which may include:

Coordinate with the Director of Operations to develop and facilitate:
- School nutrition program oversight, including:
  - Ensure overall nutrition program compliance in collaboration with the Nutrition and Operations manager;
- Daily student attendance processes, including:
  - Student Late-Arrival: ensure proper sign-in procedures are followed, distribute late passes, and maintain safety and flow within the front office and lobby spaces during the high traffic late-arrival period;
  - Student Early-Dismissal: develop and monitor early dismissal tracking systems, verify identification, call for students, manage student interns through retrieval of students, ensure proper sign-out protocols are followed, and maintain safety and flow within the front office and lobby spaces during the high traffic early dismissal period;
  - Process attendance excuses and communicate with families to ensure accurate attendance records;
- Daily student record processes, including:
  - Learn and maintain expertise in the use and features of Lab’s student information system (i.e. Infinite Campus);
  - Maintain accurate student contact and emergency information in the SIS;
  - Efficiently navigate student information systems (i.e. Infinite Campus) to access required information in a timely manner;
  - Communicate with other staff members regarding changes and updates to student records;
  - Assist with the transfer of student records upon family request;
  - Provide training, as needed, to new staff related to use of the SIS platform for student attendance.
- Registrar responsibilities, including:
  - Update and maintain student records and course data;
  - Ensure that students’ daily schedules are accurate and up to date;
  - Support with communication with Infinite Campus representative and students/families to ensure that students’ schedules and transcripts are accurate and up to date;
  - Note any academic or credit concerns and when applicable, make referrals to the School Director and/or Upper School Counselor;
  - With guidance from 9-12 School Director, complete a thorough transcript audit of all high school transcripts and track all necessary revisions;
  - Upon review of the transcripts, track all missing courses and credits to ensure that all students are on pace for graduation, attending a college or a university, career, etc.;
  - Help students schedule or register for classes, as well as assist with schedule changes, withdrawals from classes, and transfer of student records;
  - Collaborate with Infinite Campus representative to update files with class credits and grades, and evaluate records to ensure that academic performance meets graduation requirements;
  - Update quarterly grades and produce quarterly progress reports, bi-annual report cards, and transcripts as requested;
  - Provide training, as needed, to new staff related to use of the SIS platform for student scheduling and programming.
- Assist with receptionist and student health duties, as needed.

Take on other responsibilities as needed, and as assigned, to ensure student and school success.

Qualifications

Candidate MUST:

Able to fulfill the responsibilities listed above;
?Hold a Bachelor's degree from a four year institution or relevant, qualifying experience;
Maintain ?unquestioned integrity and commitment to Lab’s vision, mission, and growth;
Maintain professional demeanor, strong self-confidence;
Hold excellent interpersonal, verbal communication, and written communication skills;
Hold exceptional organization and prioritization skills in order to effectively meet competing deadlines;
Have comfort with technology, experience with Google Suite, quick learner of various computer applications;
Demonstrate experience in, or passion for, working with diverse populations.
