Duties

- Handle front desk responsibilities including scheduling appointments, maintaining calendars, and managing visitor sign-in procedures
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, including electronic documents and physical files, ensuring easy retrieval of information
- Support office management tasks such as ordering supplies, managing mail distribution, and coordinating with vendors
- Provide customer support by addressing inquiries promptly and professionally, both in person and via phone or email
- Proofread correspondence and documents to ensure clarity and accuracy before distribution
- Support administrative functions like calendar management, document proofreading, and general clerical duties to enhance office productivity
Requirements
- Proven experience in office as a front desk receptionist with strong clerical skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Familiarity with multi-line phone systems and phone etiquette standards to handle calls confidently
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Previous experience in customer service or customer support roles that emphasize professionalism and patience
- Technical proficiency in office equipment such as printers, scanners, and fax machines is preferred
- Experience with bookkeeping software like QuickBooks or basic accounting knowledge is a plus
- Ability to manage time effectively while juggling multiple responsibilities seamlessly
- Personal assistant or medical/dental receptionist experience is advantageous but not required
