Shanti Recovery & Wellness is an outpatient psychiatry, TMS (transcranial magnetic stimulation), and addiction medicine clinic based in Portland, Oregon. Approximately 80% of our patient visits are conducted through telehealth.
We are hiring a remote Medical Receptionist to support patients and providers from a secure home workspace. This position is responsible for virtual patient check-in, insurance verification, prior authorizations, payment collection, scheduling, and daily administrative operations.
This role plays a central part in managing patients’ administrative and insurance needs as they navigate their care. The ideal candidate is organized, compassionate, comfortable discussing sensitive topics, and able to communicate professionally by phone, email, fax, and secure electronic systems.
What You’ll Do
Virtual Patient Support
- Check patients in for telehealth appointments and confirm they have the necessary appointment information and technology access
- Confirm that each patient’s insurance information is current
- Explain copays, coinsurance, and deductibles before appointments
- Verify patient identity and demographic information, including name, date of birth, and address, to prevent duplicate medical records
- Build and adjust provider schedules, including follow-up appointments
- Contact patients regarding appointment reminders, scheduling changes, missing paperwork, and other administrative needs
- Help patients navigate enrollment forms, telehealth links, and basic access issues
Phones and Communication
- Answer phone calls, voicemail, email, and fax communications in a professional, welcoming, and efficient manner
- Manage multiple communication channels while remaining responsive to patients and providers
- Follow HIPAA guidelines by confirming each caller’s first name, last name, and date of birth before discussing protected health information
- Respond to new-patient inquiries, send enrollment links, collect information by phone when needed, and obtain insurance cards securely
- Communicate with pharmacies, insurance companies, outside providers, and other authorized parties
- Route clinical questions and urgent concerns to the appropriate team member
Insurance and Billing
- Verify insurance benefits, including primary and secondary coverage
- Explain insurance coverage and patient financial responsibility in clear, accessible language
- Submit medication prior authorizations and complete prior-authorization call-ins
- Collect copays and outstanding balances through approved electronic payment systems
- Escalate payment plans, billing disputes, and refund requests to the billing team
- Maintain accurate insurance, authorization, and billing documentation in the electronic health record
Remote Administrative Support
- Review incoming electronic documents, faxes, forms, and correspondence
- Upload and organize patient records in the appropriate systems
- Monitor administrative work queues and follow up on incomplete tasks
- Maintain accurate patient information in the clinic’s EHR/EMR system
- Support daily clinic workflows so providers can remain focused on patient care
- Complete other remote administrative duties as assigned
Teamwork and Professional Standards
- Collaborate with providers and administrative staff to support smooth daily operations
- Communicate clearly and professionally with patients, team members, insurance companies, pharmacies, and outside providers
- Participate in virtual staff meetings and training as needed
- Remain available and responsive during scheduled working hours
- Maintain patient confidentiality and follow Shanti’s policies and procedures at all times
- Protect confidential information by working from a quiet, private, and secure home workspace
Schedule
Monday through Friday, 8:40 AM–5:00 PM Pacific Time.
This is a full-time remote position. Employees must be able to work the complete scheduled shift and maintain dependable internet and telephone access.
Compensation and Benefits
- $23–$25 per hour
- 401(k) with employer match: 100% on the first 3% contributed, plus 50% on the next 2% contributed
- Five PTO days and five sick days annually; PTO does not roll over
- PTO and sick-time eligibility begins after 90 days of employment

Qualifications
- High school diploma or GED required
- At least six months of experience in a medical office setting involving high-volume patient contact, or one year of experience in a high-volume public-contact role such as retail, hospitality, or customer service
- Basic computer proficiency and comfortable keyboard use
- Strong organizational and multitasking skills
- Ability to remain accurate, responsive, and professional in a fast-paced remote environment
- Comfortable shifting between scheduling, virtual check-in, patient communication, and insurance or billing tasks as clinic needs require
- Comfortable following HIPAA and 42 CFR Part 2 privacy guidelines across phone, email, fax, telehealth, and electronic systems; training on specific requirements will be provided
- EHR/EMR experience preferred; Shanti uses RXNT
- A steady, empathetic, and nonjudgmental presence for patients who may be navigating psychiatric care or addiction recovery for the first time
- Comfortable handling electronic payments and having direct conversations about healthcare costs
- Able to remain seated for extended periods while using a computer and telephone
- Able to learn and work efficiently across multiple software platforms
- Reliable high-speed internet connection
- A private home workspace where confidential conversations cannot be overheard
- Ability to maintain consistent attendance and availability throughout scheduled working hours
