Our CEOs move fast, and they move often — across time zones, cities, and continents. What they need isn't someone sitting next to them; they need someone they can trust completely to run the engine room from wherever they are. If you're the kind of person who sees a messy calendar and can't rest until it's fixed, who reads a room (or an inbox) before anyone asks you to, and who genuinely enjoys being the person everything runs through — keep reading.This is a mostly remote position with minimal face-to-face contact with the CEO Office. That means we're not looking for someone who needs regular check-ins to feel confident in their work. We're looking for someone who takes ownership, makes calls independently, and only escalates what truly needs to be escalated.
What You'll Actually Be Doing
This role comes down to two things, done exceptionally well:
1. Diary management — the crucial one.
You'll own complex, ever-shifting calendars across multiple time zones and priorities. This isn't "accept or decline the meeting invite." It's understanding what matters, what can wait, what needs to move, and what should never have been booked in the first place — all while keeping the CEO Office's schedules airtight without them having to think about it.
2. Inbox and admin ownership.
You'll be the filter between noise and signal — keeping irrelevant emails out of the CEO Office's inboxes so their attention stays on what matters. Beyond that, you'll pick up the tasks that make their working lives easier, from pulling together a polished presentation deck to handling the admin that would otherwise eat into their day.Everything else in this role supports those two priorities.

About You
- 5+ years' experience as an Executive Assistant supporting senior leaders, ideally across multiple executives or a fast-paced, multi-entity environment.
- Fluent Spanish speaker.
- Proven ability to manage multiple, constantly changing calendars across time zones.
- Exceptionally organised, with the judgement to prioritise without oversight.
- Comfortable supporting several executives with different personalities and working styles.
- High emotional intelligence and discretion — you'll be trusted with sensitive information (especially as this role does include an element of Personal Assistant duties regarding the CEO's family life).
- Confident in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint).
- Proactive and solutions-focused — you fix things before you're asked to.
- Genuinely aligned with MSJ Global's mission and values.
Work Environment
- Mostly remote (based in or near Miami preferred).
- Occasional travel to Mid-Beach Miami, Mexico City, London, and the Cayman Islands as needed.
- Occasional evening or weekend availability during peak periods.
