We are seeking a warm, organized, and dependable Client Care Coordinator to serve as the first point of contact for clients, referral sources, and community partners.
This position is ideal for someone interested in psychology, healthcare administration, social work, counseling, marketing, or small business operations who is looking to gain meaningful experience in a growing mental health practice.
Position Summary
The Client Care Coordinator plays an essential role in creating a positive client experience while supporting the daily operations of our practice. This position combines front desk responsibilities, scheduling, administrative support, and light social media content creation.
The ideal candidate is personable, detail-oriented, tech-savvy, and enjoys helping others. They are able to balance professionalism with warmth and are excited to contribute to a collaborative and mission-driven team.
Essential ResponsibilitiesClient Care & Front Desk Support
- Greet clients and visitors in a friendly and professional manner.
- Answer and route incoming phone calls.
- Respond to emails, voicemails, and client inquiries.
- Assist clients with intake paperwork and scheduling needs.
- Manage client check-in and check-out procedures.
- Maintain a welcoming, organized, and professional office environment.
- Uphold HIPAA and confidentiality standards at all times.
- Help ensure clients have a positive experience from their first contact through ongoing care.
Scheduling & Administrative Support
- Schedule, reschedule, and confirm client appointments.
- Maintain clinician schedules and assist with calendar management.
- Track referrals and assist with follow-up communication.
- Scan, upload, and organize documents within electronic systems.
- Order office supplies and maintain inventory.
- Assist with workshop, group, and event registrations.
- Support practice operations through various administrative projects and tasks as needed.
Social Media & Marketing Support
- Create simple graphics using Canva.
- Schedule and post content on Facebook, Instagram, LinkedIn, and other platforms as needed.
- Assist with promoting workshops, groups, and community events.
- Take photos or short videos during community outreach events when appropriate.
- Help maintain a social media content calendar.
- Monitor social media messages and direct inquiries appropriately.
- Assist with newsletters, flyers, and other marketing materials.
QualificationsRequired
- High school diploma or equivalent.
- Minimum of one year of customer service, administrative, front desk, or office experience.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency with computers and common office software.
- Ability to work independently and as part of a team.
- Reliable transportation and consistent attendance.
Preferred
- Experience working in a healthcare, counseling, or medical office.
- Familiarity with electronic health record systems.
- Experience with Canva, social media platforms, or content creation.
- Experience coordinating events, workshops, or community outreach activities.
- Interest in mental health, healthcare, wellness, or community engagement.
