Position Overview: As a Legal Assistant, you will play an integral role in supporting attorneys and paralegals on client matters. You will assist in managing client files, preparing and revising documents, and serving as a valuable team member throughout the lifecycle of a matter. This role involves regular client communication by phone and email, and candidates should be comfortable interacting professionally and confidently with clients.
Responsibilities:
Client Interaction & Communication
- Serve as a point of contact for clients, including phone and email communication
- Assist in scheduling meetings, managing calendars, and coordinating deadlines
- Support client intake and ongoing communications throughout matters
Document Preparation & Drafting
- Prepare, revise, and proofread legal documents, correspondence, and transactional materials
- Assist with drafting standard documents using firm templates
- Manage document versions and ensure accuracy and consistency across files
File & Matter Management
- Organize and maintain electronic and physical client files
- Track engagement letters, retainers, and key documents
- Assist with file progression from intake through completion, including closing and document delivery
Team Support
- Work closely with attorneys and paralegals on business and estate planning matters
- Assist with assembling and finalizing estate plans and business documents
- Coordinate internal workflows and help ensure timely completion of client work
Skills Needed in Successful Candidates:
- Proficient in the use of Microsoft Office and willingness to learn and/or work with varying computer hardware and software applications.
- Excellent skills in English grammar; spelling and punctuation; writing, editing, and proofreading.
- Highly organized and detail-oriented, and skilled in handling multiple competing tasks and priorities
- Ability to work well with others in a setting of shared responsibility.
- Strong written and verbal skills to communicate with clients effectively and respectfully.
- Demonstrated ability to work with confidential and sensitive material and situations.
