Position Overview
The Generator Coordinator serves as the primary administrative and operational support resource for the generator division, coordinating activities across sales, service, maintenance, parts procurement, billing, and warranty administration. This position plays a critical role in ensuring a seamless customer experience by managing lead follow-up, scheduling maintenance and service appointments, supporting field technicians, tracking parts inventory, processing invoices, and overseeing warranty submissions. The ideal candidate is highly organized, customer-focused, and capable of balancing multiple priorities in a fast-paced environment. Success in this role requires strong communication skills, attention to detail, proficiency with technology and scheduling tools, and the ability to work collaboratively with customers, technicians, sales personnel, and manufacturers to ensure generator projects and service operations are completed efficiently and accurately.
Key Responsibilities
- · Manage and follow up on generator leads received through company email, Angi, Generac, and other lead sources.
- Contact prospective customers via phone, text, and email to introduce company services and maintain lead engagement.
- Schedule in-home consultations and site visits for generator sales representatives.
- Assist with marketing initiatives, including targeted postcard campaigns following power outage events.
- Provide customers with basic information regarding whole-house generator operation and benefits.
- Order generator parts through manufacturer and vendor websites, including Generac and Kohler portals.
- Research and identify required parts requested by field technicians.
- Monitor order status and delivery timelines.
- Receive, organize, and maintain generator parts inventory.
- Communicate parts availability and order updates to technicians.
- Coordinate and schedule preventive maintenance services for residential and commercial generator customers.
- Manage maintenance schedules for a large customer base, ensuring efficient technician routing and scheduling.
- Utilize scheduling tools and technology to improve operational efficiency.
- Ensure technicians have the necessary parts and materials for scheduled maintenance work.
- Communicate service schedules, expectations, and pricing with customers.
- Monitor maintenance completion and maintain accurate service records.
- Manage incoming service requests and coordinate technician dispatch.
- Communicate job details and customer concerns to field technicians.
- Track service jobs from initiation through completion.
- Ensure service records, work orders, and customer information are updated accurately.
- Promote and enroll customers in generator maintenance and service agreements.
- Provide timely communication and updates to customers regarding service appointments.
- Process and manage billing for all generator-related services, including installations, maintenance, repairs, and service calls.
- Verify invoice accuracy and ensure timely submission.
- Maintain accurate customer records and job documentation.
- Assist with customer account inquiries and payment-related questions.
- Submit and manage warranty claims through manufacturer portals.
- Track warranty submissions and follow up on outstanding claims.
- Maintain complete documentation for warranty work.
- Coordinate communication between customers, technicians, and manufacturers regarding warranty-related issues.
Experience
- High school diploma or equivalent required.
- Minimum of 2 years of experience in administrative support, customer service, project coordination, service dispatching, scheduling, or a related role preferred.
- Experience in the electrical, construction, HVAC, generator, or service industry is preferred.
- Experience with billing, invoicing, warranty processing, or inventory management is a plus.
- Familiarity with CRM systems, scheduling software, and web-based manufacturer portals preferred.
Knowledge, Skills & Abilities
- Basic understanding of residential and commercial standby generators and their operation during power outages.
- Knowledge of customer service principles and business communication practices.
- Understanding of scheduling, dispatching, and service coordination processes.
- Familiarity with billing procedures and warranty administration.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency with Google Workspace, Microsoft Office, spreadsheets, and web-based software.
