Facility Coordinator

JOB SUMMARY:
The Facilities Lead is responsible for coordinating and maintaining the physical facilities, grounds, equipment, and building systems across Shoppa’s four Metroplex locations. This position serves as the primary point of coordination for facility maintenance, preventive maintenance, repairs, inspections, contractors, vendors, and facility improvement projects.
The Facilities Lead will establish consistency in facility standards across all Metroplex branches while responding to the unique needs of each location. This position will work closely with branch leadership, Safety, Operations, Finance, IT, and outside contractors to ensure facilities are safe, functional, well-maintained, and compliant with applicable requirements.
The ideal candidate is a hands-on, organized problem solver who can balance daily maintenance needs with longer-term preventive maintenance and facility improvement initiatives.
ESSENTIAL FUNCTIONS:
- Serve as the primary facilities contact for the four Metroplex branches.
- Conduct routine inspections and walkthroughs of buildings, shops, warehouses, offices, parking areas, yards, and grounds.
- Establish consistent facility standards and expectations across all four locations.
- Identify facility deficiencies and prioritize repairs based on safety, operational impact, urgency, and cost.
- Maintain a master list of facility repairs, projects, and outstanding issues for each branch.
- Coordinate facility-related work to minimize disruption to branch operations.
- Assist leadership with long-term facility planning and capital improvement needs.
Preventive Maintenance
- Develop and maintain a preventive maintenance program for facility systems and equipment.
- Establish recurring maintenance schedules for HVAC, electrical systems, plumbing, doors, dock equipment, overhead doors, lighting, fire/life-safety systems, compressors, generators, and other facility-related equipment.
- Track completed and outstanding preventive maintenance activities.
- Identify recurring problems and recommend corrective actions.
- Coordinate inspections, testing, servicing, and repairs with qualified contractors when required.
Vendor & Contractor Management
- Coordinate outside contractors and service providers performing facility work.
- Obtain and review estimates and proposals for facility repairs and projects.
- Assist with contractor selection and scheduling.
- Verify that contractors meet Shoppa’s safety, insurance, and site requirements before beginning work.
- Monitor contractor performance, workmanship, timelines, and costs.
- Maintain records of warranties, service agreements, inspections, and contractor information.
- Develop reliable vendor relationships while seeking opportunities to control facility costs.
Safety & Compliance
- Partner with the Safety/HSE team to identify and correct facility-related hazards.
- Support compliance with applicable OSHA, fire code, electrical, building, environmental, and other regulatory requirements.
- Coordinate required inspections, testing, and documentation.
- Address facility hazards identified through inspections, incidents, audits, or employee observations.
- Maintain appropriate documentation for facility inspections and corrective actions.
- Ensure facility repairs and projects are performed using appropriate safety practices.
Work Order & Issue Management
- Establish a consistent process for employees and branch leaders to submit facility maintenance requests.
- Prioritize work requests based on urgency, safety, operational impact, and available resources.
- Track work orders from identification through completion.
- Communicate status and expected completion dates to branch leadership.
- Monitor recurring maintenance issues and develop permanent solutions where practical.
Facility Projects
- Coordinate small and medium-sized facility improvement projects.
- Assist with budgeting, estimating, scheduling, and project planning.
- Coordinate contractors and internal resources during construction or renovation projects.
- Monitor projects for scope, schedule, quality, and cost.
- Assist leadership in developing capital expenditure requests for major facility improvements.
- Maintain project documentation and closeout records.
Branch Support
- Develop a regular visit and inspection schedule covering all four Metroplex branches.
- Maintain visibility of facility conditions at each location.
- Work directly with branch managers to understand facility needs and priorities.
- Provide recommendations to leadership regarding facility improvements and expenditures.
- Respond to urgent facility issues that could affect employee safety or business operations.
Administrative Responsibilities
- Maintain facility maintenance records and documentation.
- Track facility-related expenditures and identify cost-saving opportunities.
- Maintain equipment and asset information for facility systems.
- Monitor service contracts, warranties, and recurring expenses.
- Assist in developing annual facility maintenance and improvement budgets.
- Provide periodic reports to leadership regarding facility condition, completed work, outstanding issues, projects, and expenditures.
QUALIFICATIONS:
- Minimum high school diploma or GED required; Associate's degree or technical certification preferred.
- Minimum three (3) - five (5) years of experience in facilities management, building management, construction, property management, or a related field.
- Strong knowledge of general commercial/industrial building systems.
- Ability to troubleshoot basic electrical, plumbing, HVAC, mechanical, and building issues.
- Strong organizational and project-management skills.
- Ability to coordinate multiple locations and competing priorities.
- Strong communication and customer service skills.
- Ability to work independently while collaborating with branch and corporate leadership.
- Valid driver's license with exceptional driving record.
PHYSICAL REQUIREMENTS:
- Frequently stand, walk, climb, bend, kneel, and demonstrate equipment operation.
- Ability to lift and carry up to 50 pounds.
- Ability to work indoors and outdoors in varying weather conditions.
- Ability to wear required personal protective equipment and safely access customer facilities, warehouses, construction sites, and industrial environments.
WORK ENVIRONMENT:
This position regularly works in warehouses, manufacturing facilities, distribution centers, customer job sites, and service shop environments where exposure to moving equipment, noise, dust, temperature extremes, and industrial hazards may occur. Frequent travel to branch locations and customer facilities is required.
