Overview
Fresh Start Behavioral Health is seeking a dependable, detail-oriented Administrative/Medical Assistant to support the daily operations of our Dayton clinic. This is a dual role that combines front-office administrative support with hands-on medical assistant duties in a substance-abuse treatment setting. The ideal candidate is organized, compassionate, and comfortable moving between reception and administrative work and direct patient care, while maintaining strict confidentiality at all times.
Administrative Responsibilities
- Serve as an on-site point of contact for daily operational needs, keeping front-desk and administrative workflows running efficiently.
- Verify patient insurance coverage and benefits accurately and in a timely manner — confirm eligibility, coverage details, and authorization requirements prior to visits, and resolve discrepancies as they arise.
- Communicate with insurance providers to obtain authorizations and resolve coverage issues, and escalate billing concerns to the provider or billing team promptly.
- Greet and check in patients and visitors; cover the front reception desk and maintain a welcoming, professional environment.
- Answer and route multi-line phone calls, and handle inquiries promptly and professionally.
- Schedule and coordinate appointments, provider changes, and calendar management.
- Perform clerical duties including data entry, filing, copying, scanning, and maintaining accurate records.
- Prepare correspondence, memos, forms, and reports, and support documentation accuracy.
- Support copay collection and front-desk billing needs.
- Manage supply inventory and general office upkeep.
Clinical / Medical Assistant Responsibilities
- Obtain and record patient vital signs (temperature, blood pressure, pulse, height, weight).
- Review drug screen results before provider MAT visits; collect and process observed urine samples and manage results in the EMR.
- Run and upload OARRS reports into the electronic medical record.
- Perform pill/strip counts per policy and observe patients under the daily dose protocol.
- Prepare and administer Vivitrol injections (as credentialed).
- Provide patient education, case management, community referrals, and crisis intervention as needed.
- Complete clinical documentation per agency policy (by 10 a.m. the following business day) and meet the position's 75% productivity standard.
Skills & Competencies
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace; comfortable working in EMR systems.
- Strong computer literacy with experience in data entry and filing systems.
- Excellent organizational and time-management skills with the ability to prioritize and handle multiple responsibilities efficiently.
- Strong understanding of insurance verification and basic billing procedures.
- Familiarity with multi-line phone systems and customer service protocols.
- Strong typing skills with attention to detail in documentation and correspondence.
- Effective written and verbal communication with patients, providers, and coworkers.
- Bilingual abilities are a plus for serving a diverse clientele.
Qualifications
- High school diploma or GED required; Associate degree in business administration a plus.
- For clinical duties: nursing degree with an active Ohio LPN (meds/IV certified) or RN license, maintained in good standing with the Ohio Board of Nursing.
- 2–3 years of administrative or front-desk experience and/or clinical experience in a substance-abuse or behavioral health setting preferred.
- Experience as a medical or dental receptionist is advantageous but not required.
- Must pass a BCI background check, exclusionary background checks, and a drug screen.
- Professional, dependable, and team-oriented, with compliance to HIPAA and 42 CFR Part 2 confidentiality requirements.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
