Duties
- Greet visitors and clients warmly, providing excellent customer service and phone etiquette
- Manage multi-line phone systems, directing calls accurately and professionally
- Perform data entry and maintain organized filing systems using spreadsheets and document management tools
- Handle calendar management, scheduling appointments, meetings, and reminders with precision
- Support office management tasks such as ordering supplies, maintaining inventory, and overseeing office equipment
- Prepare correspondence, Word documents, and reports with attention to detail and proofreading accuracy
- Maintain a clean, organized front desk area and ensure efficient office flow through effective time management
- Support client communication efforts via email or phone, ensuring clear and professional interactions
- Utilize Google Workspace and Microsoft Office Suite to complete various administrative projects efficiently
Qualifications
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Exceptional phone communication skills, including experience managing multi-line phone systems and practicing proper phone etiquette
- Previous experience as a front desk receptionist or medical/dental receptionist is advantageous
- Knowledge of data entry procedures, filing systems, and productivity software tools
- Demonstrated ability to handle confidential information discreetly and professionally
- Strong time management skills with the ability to prioritize tasks efficiently
