The Administrative Assistant – Human Resources provides administrative, clerical, and HR support to ensure efficient daily operations of the HR department. This role assists with onboarding, employee records, compliance documentation, scheduling, communication, and general HR functions while maintaining strict confidentiality and professionalism.
Key Responsibilities
Administrative & Clerical Support
- Maintain organized personnel files, training records, and compliance documentation
- Prepare letters, memos, notices, and HR communications
- Manage calendars, schedule meetings, and coordinate appointments
- Assist with data entry, filing, scanning, and document management
- Support HR reporting, spreadsheets, and tracking logs
Onboarding & Employee Processing
- Assist with new‑hire paperwork, I‑9 verification, E‑Verify, and file creation
- Prepare onboarding packets and orientation materials
- Coordinate new‑hire schedules, training sessions, and follow‑up requirements
- Ensure all required documentation is collected and filed accurately
HR Support & Employee Relations
- Respond to employee inquiries professionally and promptly
- Direct employees to appropriate HR resources or policies
- Maintain confidentiality of sensitive information
- Support HR initiatives such as recognition programs, engagement activities, and communication updates
Compliance & Recordkeeping
- Maintain accurate HRIS and employee data
- Assist with audits, compliance reviews, and required reporting
- Track mandatory training, certifications, and deadlines
- Support safety documentation, incident reporting, and training logs
Communication & Customer Service
- Serve as the first point of contact for HR office visitors and calls
- Provide clear, professional communication to employees and leadership
- Assist with distributing notices, updates, and policy information
Qualifications
- Associate Degree in Business Administration, Human Resources, or related field preferred
- 2–4 years of administrative support experience; HR experience preferred
- Strong organizational skills and attention to detail
- Ability to maintain confidentiality and handle sensitive information
- Proficiency in Microsoft Office (Word, Excel, Outlook) and HRIS systems
- Excellent communication and customer service skills
- Ability to work in a fast‑paced environment and manage multiple priorities
Pay: From $17.00 per hour
