Overview:
The Shipping & Receiving Associate plays a critical role in ensuring the timely, accurate, and efficient movement of cases throughout Spectrum Killian's production and customer fulfillment process. This position is responsible for coordinating incoming and outgoing shipments, preparing shipping documentation, generating invoices, maintaining shipping supplies, and supporting local deliveries and pickups. Working closely with Production, Data Entry, Customer Experience, and external logistics partners, this individual helps ensure every case reaches its destination accurately and on time while delivering an exceptional customer experience.
Key Responsibilities:
Shipping & Receiving Operations
- Receive, inspect, and process incoming dental cases.
- Scan, sort, and track incoming and outgoing shipments.
- Unload and unpack incoming cases and deliver them to the appropriate departments, including Data Entry.
- Prepare outgoing cases for shipment by ensuring all required documentation is complete and accurate.
- Review cases prior to shipment to verify contents, documentation, and billing accuracy.
- Create customer invoices and shipping documentation.
- Generate shipping labels through carriers such as FedEx, UPS, and other logistics providers.
- Monitor shipment status and proactively track, trace, and update deliveries as needed.
- Maintain inventory of shipping materials and order supplies to support daily operations.
Delivery & Logistics
- Coordinate pickups and deliveries with internal teams, shipping carriers, and dental offices.
- Safely transport cases to and from dental offices, shipping hubs, carrier locations, P.O. Boxes, and other designated locations when required.
- Build positive working relationships with drivers, vendors, and customers while representing Spectrum Killian professionally.
- Prepare reports and documentation related to shipping, deliveries, and logistics activities.
Team Support
- Collaborate cross-functionally with Production, Customer Experience, and Data Entry teams to ensure efficient case flow.
- Maintain organized shipping and receiving records.
- Assist with process improvements that enhance shipping accuracy, efficiency, and customer satisfaction.
- Perform other duties and special projects as assigned by leadership.
Who We’re Looking For:
Required Qualifications
- High school diploma or equivalent.
- Previous experience in shipping, receiving, warehouse, logistics, or a related environment preferred.
- Must possess and maintain a valid California driver's license and an acceptable driving record, subject to applicable law and company policy.
- Safe driving habits and the ability to operate a company vehicle when required.
- Basic computer proficiency, including Microsoft Office and shipping software.
- Ability to lift and move packages weighing up to 30 pounds.
- Strong organizational skills with excellent attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently while also contributing effectively within a team environment.
Preferred Qualifications
- Experience using FedEx Ship Manager, UPS WorldShip, or similar shipping platforms.
- Experience creating invoices and shipping documentation.
- Familiarity with inventory management or shipping supply coordination.
- Experience working in a fast-paced manufacturing, healthcare, or dental environment.
Physical Requirements
- Regularly stand, walk, bend, reach, and use hands to handle packages, materials, and equipment.
- Frequently lift, carry, push, and/or move materials weighing up to 30 pounds.
- Operate a motor vehicle safely for local deliveries and pickups, consistent with the essential functions of the position.
- Occasionally sit for extended periods while driving or performing administrative tasks.
- Ability to visually inspect shipping labels, documentation, and packages, with or without reasonable accommodation.
- Work is performed in both office and warehouse environments with a generally moderate noise level.

The anticipated hourly pay range for this role is $18-$20. Final compensation will be individually assessed and may differ based on a variety of factors such as your experience, qualifications, education, skill set, certifications, and other relevant considerations.
