What You'll Do
As our Dispatcher and Office Manager, you will be responsible for keeping the entire operation running efficiently.
Responsibilities include:
- Dispatch technicians to maximize productivity and profitability
- Manage the daily schedule using ServiceTitan
- Optimize technician routes and job assignments
- Monitor job progress throughout the day
- Coordinate emergency service calls
- Communicate with customers regarding arrival times and scheduling
- Handle inbound customer calls with professionalism
- Support technicians with scheduling changes and field needs
- Verify jobs are entered correctly in ServiceTitan
- Review completed jobs for accuracy and completeness
- Assist with invoicing and job closeout
- Track permits and inspections
- Coordinate with municipalities throughout Texas
- Ensure all plumbing permits are obtained before work begins
- Maintain Responsible Master Plumber licensing records
- Monitor licensing renewals and state compliance requirements
- Assist with onboarding new technicians
- Support payroll reporting and technician performance tracking
- Coordinate warranty calls and callbacks
- Maintain exceptional customer service throughout every interaction
Required Experience
We are specifically looking for candidates who have experience working in a plumbing office.
Candidates should possess:
- Minimum 3 years of plumbing dispatch experience
- Extensive ServiceTitan experience
- Strong understanding of residential plumbing operations
- Knowledge of Texas plumbing permitting requirements
- Understanding of Responsible Master Plumber licensing requirements
- Familiarity with inspections and municipal permitting processes
- Excellent organizational skills
- Strong multitasking ability
- Ability to remain calm under pressure
- Excellent verbal and written communication skills
- Strong customer service background
- High attention to detail
Preferred Qualifications
- Experience dispatching 8–25 technicians
- Experience with plumbing sales and service operations
- Service agreement administration
- Financing coordination
- Knowledge of inventory management
- Experience with QuickBooks or accounting software
- Experience building KPIs and operational reports
- Leadership experience managing office personnel
