Position Summary
This position is responsible for accurately processing and maintaining vendor invoices and expense transactions. This role ensures all payables are properly approved, coded, and entered into the accounting system in a timely manner. Additional responsibilities include reconciling company Visa credit cards and maintaining records related to company vehicle assignments.
Key Responsibilities

Review, code, verify, and enter vendor invoices into the accounting system.

Confirm invoices are properly approved by department managers prior to posting or payment.

Match purchase orders, packing slips, and invoices where applicable.

Reconcile monthly Visa credit card statements and ensure all receipts and expense details are properly documented with accurate job numbers.

Track and maintain company vehicle assignments and related documentation.

Communicate with vendors and internal departments to resolve discrepancies or missing information.

Maintain organized and up-to-date accounts payable files and records.

Assist with month-end closing tasks as needed

Meet strict deadlines on closing

Support the Regional Manager with other administrative tasks as assigned.
Qualifications

High school diploma or equivalent; post-secondary accounting coursework preferred.

1–3 years of experience in accounts payable or general accounting.

Strong attention to detail and organizational skills.

Proficiency with accounting software and Microsoft Excel.

Ability to communicate clearly and professionally with internal staff and vendors.

Strong time management skills and ability to meet deadlines.
Work Environment
