Department: School of Graduate and Professional StudiesReports To: Dean, School of Graduate and Professional StudiesStatus: Non-ExemptThe assistant to the Dean is responsible for aiding the dean to ensure the smooth and timely functioning of the office for faculty and student services. Under general supervision, will coordinate, oversee, and/or perform a wide variety of administrative support activities; coordinate with other offices of the university for processing schedules, contracts, and meeting schedules; provide and coordinate staff and office support; coordinate special events; and handle assignments that may be confidential.
EXAMPLE OF DUTIES
Prepare, collect, and initiate onboarding (e.g., email, LMS, HR) for faculty and adjunct faculty. Create, provide, and process contracts for faculty/faculty overload; All documents should be processed one week before classes start.Maintain and support SharePoint sites for programs and departments and share folders with individuals as needed. Prepare invitations, manage logistics, and take minutes of school meetings.Provide administrative support for search committees by scheduling meetings, making arrangements for candidates (zoom or in person), ensuring committee members have access to materials etc.Monitor course enrollments and alert faculty and leaders about the need to add or cancel classes.Monitor budget, process payments, and track receipt and reimbursement for Dean.Serve as a liaison with the executive assistant in the provost's office to ensure that essential records are maintained and communication is distributed. Support accreditation processes. Attend monthly Academic Support meetings for collaboration and training on processes. Work with the Dean to improve office and staff efficiency. Assist the Dean and work with the provost’s office on the faculty evaluation process.Maintain a working knowledge of software and systems. Prepare faculty load sheets and overload sheets in collaboration with the dean. Retrieve and sort departmental mail. SUPPLEMENTAL INFORMATION
$45,780.00 to $53,040.00 is the annual starting salary for this role and reflects what Fresno Pacific University reasonably expects to pay for this position. Actual compensation may vary based on qualifications, experience, and internal equity.
