Start Date: One 1-year base period plus four 1-year option periods
Place of Performance:
Remote with occasional travel (~4 times/year).
Work is virtual unless otherwise directed. In-person meetings, if required.
Position Summary: The Freedom of Information Act (FOIA)/Records Specialist provides Federal records management, FOIA/Privacy Act documentation support, FACA documentation support, information collection support, records workflow support, and compliance-driven documentation support for a Federal correspondence and content management program. This role supports records identification, records requirements, documentation of workflows, records inventories, content organization, and controlled correspondence support. This role supports FOIA/Privacy Act and FACA-related records and documentation activities but does not serve as a Government FOIA decision-maker.
Key Responsibilities:
- Support Federal records management activities, records requirements documentation, records inventories, filing structures, document organization, and records workflow tracking.
- Support documentation of controlled correspondence, FOIA/Privacy Act, FACA, information collections, records management, correspondence policy, and related administrative workflows.
- Support document retrieval, organization, review preparation, tracking, and quality control for records and correspondence-related materials.
- Maintain records-related logs, trackers, status reports, documentation repositories, and version-controlled files.
- Support development and revision of SOPs related to controlled correspondence, correspondence policy, FOIA/Privacy Act, FACA, information collections, and records management.
- Support identification of records-management requirements needed for successful workflow and content-management implementation.
- Coordinate with project staff and Government stakeholders to collect inputs, validate information, and support records-related deliverables.
- Protect sensitive, controlled, Privacy Act, and Government information in accordance with applicable requirements.
- Support transition and knowledge-transfer activities involving records, workflow documentation, and Government-approved data formats.
- Support quality reviews of records-related deliverables before submission.
Required Qualifications:
- Minimum 2 years of experience with Federal correspondence management systems or comparable Federal tasker, case-tracking, records, or content-management systems.
- Experience supporting Federal records management, records workflows, records inventories, document control, or records compliance activities.
- Knowledge of Federal records lifecycle concepts, records organization, records retention support, records disposition support, and documentation control.
- Experience supporting FOIA/Privacy Act documentation, tracking, records collection, response-package preparation, or related information-request support.
- Experience supporting FACA documentation, committee records, meeting documentation, public-facing records, or related compliance documentation, if applicable.
- Experience preparing SOPs, reports, trackers, correspondence, logs, or workflow documentation.
- Strong document organization, quality review, confidentiality, and written communication skills.
- Proficiency with Microsoft Office, SharePoint, and electronic records or document-management tools.
- Ability to manage multiple requests and deadlines accurately.
Education:
- Bachelor's degree in Business Administration, Public Administration, Information Management, Library Science, Records Management, or a related field.
