We are seeking a experienced and detail-oriented Administrative Assistant with tax data entry experience to join our team. The ideal candidate will be the first point of contact for our clients, providing excellent customer service, managing confidential documents, and ensuring efficient workflow. This is an in-person role in Virginia Beach, requiring high-energy, multi-tasking abilities, and a positive attitude.
Responsibilities
- Client Service & Reception: Greet clients professionally, answer multi-line telephones, schedule/confirm appointments, and manage client inquires.
- Document Processing: Scan client tax documents, organize and index digital files, maintain high-accuracy records, perform accurate data entry using Microsoft Office, Google Workspace, and tax software to maintain up-to-date records.
- Tax Return Assembly: Assemble and process final tax returns for client pick-up or electronic signature, ensuring all documentation is included.
- Workflow Management: Assist other departments by managing the "scan and autoflow" process, tracking client portals, and managing incoming mail, documents, and client packets.
- Office Administration: Maintain a clean, professional office environment, order supplies, and handle incoming & outgoing correspondence.
- Confidentiality: Handle sensitive personal and financial data with strict discretion, adhering to all confidentiality protocols.
Required Qualifications:
- Experience: 1 to 3 years of administrative experience, preferably in a tax, accounting, or professional services office.
- Software Proficiency: Strong knowledge of Microsoft Office Suite and Google Workspace. Experience with tax software (Drake, Taxwise, and/or ProSeries) is highly preferred.
- Attention to Detail: Exceptional accuracy in data entry and document scanning.
- Communication: Excellent verbal & written communication skills for client interaction.
- Reliability: Ability to work in-person in Virginia Beach and adhere to a strict schedule, particularly between January - April.
Schedule & Benefits:
- Hours: Full Time, 40 hours per week during peak hours, and 32 hours per week outside of peak deadlines (Company closes on Fridays May-September).
- Peak Season Availability: Flexibility to work increased hours, including occassional evening/weekends, during tax season.
- Benefit: Competitive hourly pay based on experience ($18 - $20), paid time off, and retirement benefits.
Pay: $18.00 - $20.00 per hour
