Overview
We are seeking a dynamic and organized Office Manager/Accounts Receivable professional to lead our administrative operations and manage financial transactions with precision and professionalism. Duties
- Oversee daily office functions, including front desk management, multi-line phone systems, calendar scheduling, and filing systems to ensure seamless operations.
- Manage accounts receivable activities by invoicing clients, tracking payments, following up on overdue accounts, and maintaining accurate bookkeeping records using accounting software such as QuickBooks.
- Supervise administrative staff, providing training and development opportunities to foster a motivated and efficient team.
- Coordinate vendor management activities, including negotiating contracts, processing payments, and maintaining positive relationships with suppliers.
- Handle human resources responsibilities such as payroll processing, employee record keeping, confidentiality of sensitive information, and supporting onboarding procedures.
- Assist with event planning for company meetings or client events, ensuring all logistics are handled efficiently.
- Support budgeting efforts by monitoring expenses, preparing financial reports, and assisting with financial software data entry to maintain accurate records.
Skills
- Proven experience in office management combined with accounting and finance expertise.
- Proficiency in QuickBooks, Microsoft Office Suite (especially Excel spreadsheets), and other financial or accounting software.
- Strong organizational skills with the ability to manage schedules effectively and prioritize tasks efficiently.
- Excellent communication skills for client interaction, vendor negotiations, and team collaboration.
- Supervising experience with a focus on team management and staff development.
- Knowledge of medical office management or similar environments is a plus but not required.
- Ability to handle confidential information discreetly while maintaining high standards of professionalism.
- Technical proficiency in office equipment such as multi-line phones, fax machines, and calendar management tools.
- Experience in clerical tasks including filing, data entry, and front desk responsibilities.
- Strong customer service orientation with an emphasis on positive client communication and phone etiquette.
