Job Summary
Join our outpatient substance abuse treatment center as a Receptionist, where your energetic and welcoming presence will set the tone for a supportive and organized environment. You will handle a variety of secretarial and clerical responsibilities with ease, helping create an organized flow so both staff and clients feel supported every step of the way. With strong organizational skills, experience in computerized word processing and medical information systems and keeping daily operations on track while maintaining clear and effective filing systems. You bring a compassionate, flexible, and mature approach when working with clients who may be facing mental health challenges, creating a respectful and supportive environment. You take confidentiality seriously, can work independently with minimal supervision, and consistently contribute to a positive, efficient, and well-run program that truly makes a difference.
Duties
- Greet clients, visitors, and staff warmly, creating a welcoming atmosphere that reflects our compassionate mission
- Manage multi-line phone systems efficiently, directing calls with professionalism and courtesy using proper phone etiquette
- Schedule appointments and maintain calendar management for clinicians and support staff to optimize daily operations
- Handle data entry tasks accurately using computer skills, including Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
- Perform clerical duties such as filing, proofreading documents, and managing client records with attention to detail and confidentiality
- Assist with office management tasks including supply inventory, organization of files, and maintaining a clean reception area
- Support customer service efforts by providing information about services, answering inquiries, and offering support to clients in need
Experience
- Prior office experience or clerical experience in a healthcare or social services environment preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting
- Excellent phone etiquette skills with experience managing multi-line phone systems in busy environments
- Proven customer service skills with a friendly demeanor and the ability to handle sensitive situations professionally
