Position Overview
Butler Academy’s Extended Day Program (XDP) provides a safe, structured, and joyful after-school experience for our scholars. We are seeking an organized, proactive, and student-centered XDP Administrative Assistant to support the daily operations of our program.
Application Requirement:To be considered for this role, applicants must either include a cover letter or send a separate message via Indeed specifically acknowledging that they understand this position is only for 3 hours per day, 4 days per week (Mon - Thu) for a total of 12 hours per week. This role ensures smooth transitions between the end of the regular school day and the start of after-school programming, manages communications with families, and supports program staff so they can focus on creating excellent learning experiences.
Key Responsibilities:
Program Operations (2:30 – 4:00 PM)
- Manage sorting and distribution of all XDP snacks, as well as attendance rosters to 8-10 classrooms.
- Ensure that XDP staff are in position at the end of the carline and provide coverage if a teacher is delayed.
- Provide front desk operational support with tasks as assigned.
Front Desk Family Support & Administrative Duties (4:00 – 5:30 PM)
- Manage the front desk for XDP, handling phone calls and early dismissals.
- Manage invoicing in Square, send receipts, and communicate with families about late payments or payment arrangements.
- Maintain the waitlist, process new applications, and update attendance rosters and pickup contact information in real time.
- Support Director of Operations with maintaining XDP staff timesheets as needed.
- Provide coverage for late pick ups, as needed.
- Provide additional operational support to ensure smooth daily execution of the program.
Qualifications & Skills
- High school diploma or equivalent required; some college coursework or administrative experience preferred.
- Strong organizational skills and ability to manage multiple priorities in a busy after-school environment.
- Professional, warm, and clear communication skills (both verbal and written).
- Experience working with children, families, or in a school environment strongly preferred.
