Pendleton Property Management is seeking a dedicated, detail-oriented, and responsive Residential Maintenance Coordinator to oversee maintenance requests and property inspections across our portfolio of residential rental properties.
This individual will serve as the primary point of contact for all tenant maintenance requests, managing each request from the initial report through final completion. The Residential Maintenance Coordinator will work closely with tenants, property owners, vendors, contractors, and the property management team to ensure maintenance concerns are handled professionally, promptly, and cost-effectively.
The ideal candidate is highly organized, communicates effectively, exercises sound judgment, and can successfully manage multiple priorities in a fast-paced environment. This role requires someone who takes ownership, follows through, anticipates problems, and works collaboratively with tenants, vendors, property owners, and team members.
Key Responsibilities
- Serve as the primary point of contact for tenants regarding all maintenance requests and maintenance-related concerns.
- Receive, review, document, prioritize, and track maintenance requests from initial report through final completion.
- Respond promptly and professionally to tenant questions, concerns, and maintenance requests.
- Keep tenants informed regarding scheduling, vendor appointments, repair status, delays, and completion.
- Identify emergency, safety, and habitability-related maintenance concerns and coordinate the appropriate response.
- Create and assign detailed work orders to approved vendors and contractors.
- Coordinate scheduling and property access between tenants, vendors, contractors, and property owners.
- Obtain repair estimates and property owner approvals when required.
- Communicate repair recommendations, costs, significant maintenance concerns, and property updates to owners.
- Follow up with tenants and vendors to confirm repairs have been completed professionally and satisfactorily.
- Coordinate and oversee routine, preventative, and emergency maintenance requests.
- Monitor property conditions and identify maintenance concerns before they become larger or more costly problems.
- Conduct move-in, move-out, periodic, maintenance, and routine property inspections.
- Prepare detailed inspection reports and document property conditions with photographs and notes.
- Identify property damage, normal wear and tear, safety concerns, and required repairs during inspections.
- Assist with security deposit dispositions by providing inspection findings, photographs, repair estimates, invoices, and supporting documentation.
- Coordinate cleaning, painting, repairs, and other turnover services between tenants
- Install Sentrilock lockboxes and other access devices as needed.
- Help ensure rental properties are clean, secure, market-ready, and prepared for tenant occupancy.
- Work closely with vendors and contractors to ensure repairs are completed professionally, promptly, and cost-effectively.
- Review vendor invoices and confirm completed work matches the approved scope.
- Maintain accurate property records, inspection reports, work orders, maintenance documentation, photographs, approvals,invoices, and tenant information within company software systems.
- Maintain compliance with applicable federal, state, and local fair housing, landlord-tenant, and residential property management laws.
- Collaborate with property management, leasing, accounting, maintenance, and leadership team members to provide a consistent client and tenant experience.
- Perform additional duties and special projects as assigned.
Qualifications
- Previous experience in residential property management, maintenance coordination, property inspections, construction, customer service, or a related field is preferred.
- Experience working with single-family homes, townhomes, condominiums, or scattered-site rental portfolios is strongly preferred.
- A current real estate license is preferred but not required.
- Working knowledge of the Virginia Residential Landlord and Tenant Act, commonly referred to as the VRLTA, and its application to residential property management operations is preferred.
- Working knowledge of residential property maintenance and repair processes.
- Experience coordinating vendors, contractors, inspections, and maintenance requests is preferred.
- Basic familiarity with plumbing, electrical, HVAC, appliances, landscaping, and general residential repairs.
- Strong organizational and time-management skills.
- Ability to prioritize multiple maintenance requests, meet deadlines, and respond effectively to changing circumstances.
- Excellent written, verbal, and interpersonal communication skills.
- Strong attention to detail and commitment to accurate documentation.
- Professional, calm, and solution-oriented approach to challenging situations and emergencies.
- Self-motivated and able to work effectively both independently and as part of a collaborative team.
- Proficiency with standard business applications and property management software.
- Experience with Propertyware, ZInspector, and Property Meld is preferred.
- Valid driver's license, reliable transportation, and the ability to travel between properties throughout the DMV area.

Compensation
The annual salary range for this position is $40,000 to $50,000, based on experience, qualifications, and demonstrated property management and maintenance knowledge.
