Job Overview:
We are seeking a dynamic and detail-oriented Construction Project Administrator to join our project accounting team. In this pivotal role, you will be responsible for supporting the successful execution of construction projects by handling administrative tasks, coordinating communication, and ensuring project documentation is organized and up to date.
The Construction Project Administrator provides administrative and organizational support to construction project teams, ensuring smooth operations from planning through completion. This role involves managing documentation, inputting project payables, coordinating schedules, and facilitating communication between project managers, contractors, vendors, and other stakeholders. The ideal candidate is detail-oriented, proactive, and skilled in multitasking within a fast-paced environment.
Duties/Responsibilities:
- Document Management - Prepare, organize, and maintain project documentation, including, but not limited to permits, drawings, reports, etc.
- Scheduling - Assist in creating and updating project schedules, coordinating meetings, and ensuring deadlines are communicated to all relevant parties.
- Communication - Act as a liaison between project managers, subcontractors, suppliers, and clients, relaying critical information and updates.
- Team Support - Maintain inventory of office and other supplies. Assist the project team with administrative support as needed.
- Compliance - Ensure all project activities adhere to regulatory requirements, safety standards, and company policies by maintaining up-to-date records.
- Reporting - Compile progress reports, status updates, and other documentation for internal teams and external stakeholders.
- Procurement Assistance - Coordinate with vendors for material orders, track deliveries, and resolve administrative issues related to supplies. Prepare project lien waivers and coordinate distribution for approvals.
- Data Entry - Input and manage project-related payables and data in construction management software or databases.
- Problem Solving - Address administrative challenges, escalate issues as needed, and provide solutions to keep the project on track.
Required Skills/Abilities:
- Education- High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Business Administration, Construction Management, or a related field is preferred.
- Experience- 2+ years of administrative experience, ideally in construction, engineering, or a related industry.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Procore, Primavera, or similar).
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Ability to read and interpret construction plans or blueprints is a plus.
- Detail-oriented, adaptable, and able to work independently or as part of a team.
- Working Conditions - Split between corporate office and project site office.
- May require working extended hours to meet project deadlines.
Pay: $45,000.00 - $55,000.00 per year
