Administrative Coordinator
Schedule: Full-time, Monday – Friday, 8:00am – 4:30pm
Pay Range: $22.00 - $24.00 per hour
Location: 100% on-site, FMI Portland office
Reports to: HR Manager
We are seeking a reliable and organized Administrative Coordinator to support daily operations at our main office. This role is a front-line point of contact for customers and employees and plays an important role in keeping the office running smoothly. This position works closely with multiple departments and provides administrative support to our HR and Sales teams. The ideal candidate is highly organized, dependable, and comfortable handling a variety of clerical and coordination tasks.
This is a highly visible role that supports teams across the organization and serves as the first point of contact for our office, making consistent attendance and punctuality especially important.
Key Responsibilities
Office Administration (65%):

Serve as the primary contact for incoming phone calls and direct callers to the appropriate department

Help maintain smooth day-to-day office operations by supporting administrative needs across departments

Track and organize customer comment cards

Plan and coordinate company-wide staff events from start to finish, including logistics, communication, and execution.

Make travel arrangements for staff attending off-site training

Coordinate annual FMI initiatives
Human Resources Support (20%):

Assist with time-sensitive administrative tasks for the HR Department

Confidential filing/organization

Format and distribute internal communications and materials

Coordinate employee recognition activities such as birthdays and work anniversary acknowledgements

Organize employee photo days

Prepare and distribute FMI’s employee newsletter
Marketing & Sales Support (15%):

Maintain and update the company website (training provided; prior web experience not required)

Assist the Sales Department with marketing mailings

Order and track inventory of company-branded merchandise

Coordinate promotional gift-giving during the holiday season

Provide administrative support related to trade-show bookings
Qualifications

Strong organizational and time-management skills
-
Demonstrated reliability and a strong record of attendance in previous roles

Professional phone and communication skills; ability to write business correspondence

Ability to manage multiple tasks and priorities while maintaining attention to detail

Proficiency with standard office software, including the Microsoft Office Suite and Adobe Creative Cloud.

Previous administrative experience highly preferred.
