Title: Clinic Manager Assistant

Reports To: Program Director/Clinic Manager
Time/Status: Regular/Full Time
Schedule: 6am - 2:20pm Monday through Friday
Clinic Manager Assistant – Substance Use Disorder (SUD)
We are seeking a highly organized, professional, and dependable Clinic Manager Assistant to support the Clinic Manager in overseeing the daily operations of a Substance Use Disorder (SUD) treatment clinic. This position plays a key role in ensuring clinic compliance, operational efficiency, staff coordination, patient satisfaction, and adherence to healthcare regulations.
The ideal candidate is detail-oriented, capable of multitasking in a fast-paced healthcare environment, and demonstrates strong leadership, communication, and administrative skills.
Key Responsibilities
- Assist the Clinic Manager with daily clinic operations and administrative oversight
- Support implementation and enforcement of clinic policies and procedures
- Coordinate employee schedules and staffing needs
- Assist with hiring, onboarding, orientation, and training of new staff
- Maintain employee files, health records, and compliance documentation
- Monitor compliance with OSHA, HIPAA, CDPH, and company policies
- Support employee evaluations, coaching, corrective actions, and disciplinary processes
- Review and approve employee timecards for payroll processing
- Help maintain accurate patient records and ensure timely submission of referrals and medical records
- Ensure patient areas remain clean, organized, and professional
- Monitor clinic inventory and maintain supply levels using First-In, First-Out (FIFO) procedures
- Coordinate equipment maintenance and repairs
- Support billing processes and insurance contract compliance
- Conduct clinic audits, safety drills, and incident reporting
- Assist with staff meetings, agendas, and communication between employees and leadership
- Collect and monitor patient co-pays and share-of-cost payments
- Perform additional duties assigned by clinic leadership
- Partial patient caseload
Qualifications
- Bachelor’s degree preferred (or equivalent experience in healthcare administration or management)
- Certified Substance Abuse Counselor required!
- Previous medical office or healthcare management experience preferred
- Experience in behavioral health or SUD treatment settings is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational, leadership, and problem-solving skills
- Knowledge of medical billing and insurance payers including Medicare, Medicaid, PPO, HMO, and POS plans
- Understanding of California labor laws and healthcare compliance regulations
- Familiarity with OSHA, HIPAA, and CDPH standards

Salary
Range: $26-$28 hour
Negotiable depending upon degree of experience, knowledge, skill, ability, and qualifications.
