Position Summary
Stord is looking for a detail-oriented Shipping & Receiving Clerk to serve as a critical link between our carriers, vendors, and operations teams. This role owns the accuracy and flow of inbound and outbound freight documentation, coordinates appointment scheduling to keep our docks running efficiently, and serves as the primary point of contact for carrier communication - escalating any customer-facing needs to CX or Operations. We're looking for someone who takes ownership of accuracy, communicates proactively, and thrives in a fast-paced logistics environment.
What You'll Do
- Carrier & Appointment Coordination
- Confirm and coordinate inbound delivery appointments with carriers and vendors, ensuring scheduling details are accurate and communicated in advance.
- Check in and check out all carriers in an accurate and timely manner, verifying documentation on arrival and departure.
- Monitor the appointment calendar and dock schedule to prevent overlaps and minimize dock congestion.
- Make or change customer appointments as required, and communicate appointment changes, delays, or no-shows to Operations promptly.
- Documentation & Data Accuracy
- Accurately input and verify Bills of Lading (BOLs) on a timely basis.
- Review shipping documents - BOLs, PODs, and related paperwork - for accuracy before filing or transmission.
- Update shipment data and paperwork in the WMS to maintain a reliable, real-time system of record.
- Flag and report inbound/outbound discrepancies to the appropriate team for timely resolution.
- Update the outbound schedule and dispatch information at scheduled times each day.
- Print outbound BOLs and make them available for drivers to pick up.
- Carrier Communication & Escalation
- Serve as the primary point of contact for carrier communication, keeping carriers informed of appointment details, scheduling changes, and dock status.
- Communicate with carriers verbally and in writing with a professional, positive, and solutions-oriented approach.
- Be able to identify and escalate any customer facing concerns to supervisor.
- Communicate and escalate any rejected loads to the appropriate department.
- Organization & Continuous Improvement
- Maintain organized files and documentation so information is readily available to associates and customers.
- Generate and retain required reporting for customers and Stord.
- Maintain an orderly, professional desk area.
- Suggest ideas to improve daily processes (LEAN).
- Perform additional duties as assigned by Supervisor or Management.
What You'll Need
- High school diploma or GED required.
- Minimum of 1–2 years of experience in a customer service, logistics, warehouse, or transportation-coordination role.
- Strong working knowledge of business English, spelling, and arithmetic; excellent written and verbal communication skills.
- Proficiency with Microsoft Word, Excel, and PowerPoint.
- WMS and RF scanning experience strongly preferred.
- Demonstrated accuracy and attention to detail; comfortable maintaining complex records and reports.
- Ability to multitask and stay organized in a fast-paced, deadline-driven environment.
- Ability to stand for periods of up to 12 hours per day.
- Must pass a pre-employment test (if applicable) and Stord's Simple Math Test (one of three versions).
- Must be willing to submit to a drug screen and background check.
