Position Overview:
The Executive Assistant will act as a strategic partner to top-level executives, managing complex scheduling, handling confidential communications, and coordinating across departments. The ideal candidate is highly professional, thrives under pressure, and has previous experience supporting leadership in the finance sector. Responsibilities of the Executive Assistant:
- Provide day-to-day executive administrative support to the C-suite and senior leadership.
- Manage multiple calendars, prioritize meetings, and coordinate internal and external engagements.
- Handle confidential communications, board materials, and executive-level correspondence.
- Book and manage global travel logistics, including flights, hotels, and ground transportation.
- Prepare polished presentations, reports, and talking points for meetings and events.
- Liaise with clients, investors, and internal stakeholders with professionalism and discretion.
- Track key initiatives and assist with project deadlines, deliverables, and follow-ups.
- Submit expense reports and reconcile transactions promptly.
- Support event planning and internal coordination for executive off-sites and investor events.
- Maintain a pulse on shifting priorities and anticipate the needs of the executive team.
Required Experience/Skills for the Executive Assistant:
- 5+ years of Executive Assistant experience in a financial services, investment, or banking environment.
- Proven track record of managing complex executive workflows and multiple priorities.
- Exceptional communication and organizational skills.
- Proficiency in Microsoft Office Suite (especially Outlook, Excel, and PowerPoint).
- Ability to maintain confidentiality, sound judgment, and discretion in a high-pressure setting.
Preferred Experience/Skills for the Executive Assistant:
- Background in private equity, investment banking, or asset management.
- Experience working with board members, investors, and senior-level clients.
- Familiarity with CRM systems and financial document preparation.
- Ability to thrive in a fast-paced, metrics-driven culture.
Education Requirements:
- Bachelor's degree is required.
