Counseling Services for Wellbeing is hiring a Front Desk Administrator to join our growing mental health practice. This is a fully in-person role based at our Burien office.
This is a fast-paced, customer-facing front desk role that serves as the first point of contact for clients seeking care and as an important support for our providers. We are looking for someone with strong front desk, reception, or administrative experience, ideally in a healthcare, behavioral health, or medical office setting.
This position requires excellent communication, professionalism, confidentiality, strong computer skills, and the ability to manage a high volume of phone calls, emails, scheduling needs, client records, payment collection, and payment forms with accuracy and care.
Responsibilities
- Answer a high volume of incoming client calls with professionalism and discretion
- Make outgoing calls to clients regarding scheduling, follow-up needs, payments, and required forms
- Serve as a welcoming and professional front desk presence for clients, providers, and visitors
- Respond promptly and clearly to client, provider, and staff emails and messages
- Schedule appointments and help connect clients with the appropriate provider
- Educate clients on insurance, payments, scheduling policies, and provider expectations
- Collect client payments and ensure required payment forms and cards on file are completed according to practice policy
- Support providers with administrative tasks
- Maintain accurate client and provider records in our electronic medical record system
- Protect client confidentiality and follow HIPAA requirements at all times
- Redirect clients in crisis to appropriate resources according to practice protocols
Requirements
- 1+ years of customer-facing front desk, reception, administrative, or customer service experience required
- Healthcare, behavioral health, medical office, or clinical front desk experience strongly preferred
- Clear and professional verbal and written communication skills
- Ability to manage high call and email volume while staying organized and detail-focused
- Comfort making outgoing calls, discussing payments, and collecting required forms
- Strong computer skills, including Google Workspace and Microsoft Office; EMR experience is a plus
- Professional, reliable, discreet, and team-oriented attitude
