Position Overview
We are seeking a versatile and proactive Office & Production Overview Manager for our plastic injection molding facility. This critical role acts as the central hub of our operations, bridging the gap between our clients, financial books, and the manufacturing floor. You will handle everything from initial job quoting and order processing to inventory tracking, production logs, accounts payable/receivable, and final shipping logistics.
Key Responsibilities
- Order Management & Production Liaison
Receive and process incoming customer purchase orders.
Brief the Production Manager daily regarding all open orders.
Monitor production timelines to ensure on-time order completion.
Maintain open communication with customers regarding order status, completions, or delays.
Track inventory levels for raw resins, additives, inserts, and packaging supplies.
Verify material and component availability before manufacturing begins.
Generate and submit supplier purchase orders to replenish low inventory materials.
Prepare all freight and shipping documentation for outbound orders.
- Compliance & Data Maintenance
Maintain daily production logs accurately.
Organize and maintain Quality Control (QC) documentation logs.
- Financial & HR Administration
Manage full-cycle Accounts Payable (AP) and Accounts Receivable (AR).
Utilize QuickBooks to manage day-to-day company financial transactions.
Ensure employees are paid accurately and on time.
Review payroll data, including hours, overtime, bonuses, deductions, and benefits contributions.
Maintain accurate and confidential payroll records.
Resolve payroll discrepancies and employee inquiries promptly and professionally.
Stay informed of changes in payroll regulations, labor laws, and tax requirements.
Review project requirements and prepare accurate price quotes for custom plastic injection molding jobs.
Required Qualifications & Skills
Experience: 5+ years of experience in manufacturing business operations, financial administration, HR management, or related leadership roles.
Industry Knowledge: Proven experience within a manufacturing office environment, specifically with plastic injection molding.
Technical Quoting: Strong understanding of how to quote plastic injection molding jobs (interpreting material costs, cycle times, and tool requirements).
Financial Software: Advanced, hands-on proficiency with ERP and QuickBooks is strictly required.
Operational Software: Proficient with Microsoft Office Suite and reporting tools like Smartsheet, with a comfort identifying ways to optimize these tools over time.
Professionalism: Demonstrated excellence in vendor and client communication, with the ability to represent the company to outside partners.
Soft Skills: Strong analytical, problem-solving, and collaborative leadership abilities. Proven capacity to manage multiple priorities and adapt quickly in a fast-paced environment.
Bilingual in Spanish is a plus.
Education Requirements
Degree Preference: Bachelor’s degree in Business Administration, Finance, Human Resources, Accounting, or a related field.
Equivalency: Equivalent, hands-on professional manufacturing experience can be substituted for the degree
Compensation & Benefits
Schedule: Full-time, Day shift (Monday through Friday).
Compensation: 65,000 to 75,000
