We run a woman owned construction business that has grown quickly. As the owner I am having difficulties keeping up with demands, such as phone calls, emails, quotes, ordering materials and bookkeeping. You would be working by yourself most of the time in an office setting.

Responsibilities
- Manage front desk operations, including greeting visitors, answering phones, and providing exceptional customer service with professional phone etiquette.
- Oversee calendar management and scheduling for team members, appointments, and events using productivity software such as Microsoft Office, Jobber, and Housecall Pro.
- Perform data entry tasks accurately within QuickBooks and other bookkeeping or accounting platforms to support financial recordkeeping.
- Handle clerical duties such as filing, proofreading documents, and maintaining organized records to ensure easy retrieval and compliance.
- Support management by coordinating supplies, managing vendor relationships, and overseeing general administrative functions.
- Provide customer support by addressing inquiries promptly and professionally, ensuring positive interactions at the front desk or via phone.
Requirements
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel), Quickbooks, and productivity software like Jobber or Housecall Pro.
- Experience with QuickBooks for bookkeeping or financial recordkeeping is highly desirable.
- Excellent computer literacy with the ability to perform data entry efficiently and accurately.
- Strong communication skills with the ability to demonstrate excellent phone etiquette.
- Bilingual abilities are a plus to support diverse client interactions, but not required.
- Previous experience in clerical work, customer service, or front desk roles within construction is preferred.
- Demonstrated time management skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Technical proficiency in office equipment such as phones, printers, scanners, and filing systems.
- Personal assistant experience or experience managing calendars can be advantageous for supporting executive needs.
