The Property Manager / Bookkeeper is responsible for the day-to-day management of properties while maintaining accurate financial records. This role combines property management responsibilities with bookkeeping duties, requiring strong organizational skills, attention to detail, excellent customer service, and sound financial knowledge.
Essential Responsibilities
- Manage all aspects of the properties.
- Serve as the primary point of contact for tenants, owners, vendors, and contractors.
- Schedule and oversee contract vendors.
- Maintain a positive, productive relationship with tenants.
- Collect receivable accounts and handle operating expenses.
- Address tenants concerns or issues in a timely manner.
- Collect rent, and handle late payments when necessary.
- Maintain property records, lease files, insurance documentation, and compliance records.
- Coordinate tenant move-ins, move-outs, lease renewals, and lease administration.
- Collect rents and monitor delinquent accounts, following up on late payments as needed.
- Coordinate maintenance requests and schedule repairs with approved vendors.
- Conduct routine property inspections and document findings.
- Obtain bids and oversee vendor performance for maintenance and improvement projects.
- Respond promptly and professionally to tenant inquiries and concerns.
- Ensure properties comply with applicable safety regulations and local ordinances.
Bookkeeping & Accounting
- Record all financial transactions accurately using QuickBooks.
- Process accounts payable and rents receivable.
- Prepare and deposit tenant payments.
- Reconcile bank accounts, credit card statements, and operating accounts.
- Prepare monthly financial statements and property management reports.
- Track security deposits and escrow accounts.
- Prepare year-end financial information for tax professionals.
- Maintain vendor records, W-9s, and payment documentation.
Qualifications
- Minimum of 3 years of bookkeeping, accounting, or property management experience.
- Experience with QuickBooks.
- Strong knowledge of bookkeeping principles and financial reporting.
- Excellent organizational, communication, and customer service skills.
- Ability to prioritize multiple tasks and meet deadlines.
- High level of integrity and discretion with confidential information.
