Title: Director of Volunteers

Position Summary - The primary role of the Director of Volunteers is to develop and implement a comprehensive volunteer services program in order to meet VIM clinic staffing and resource needs. Volunteers in Medicine has over 300 volunteers that help with medical care, nursing, pharmaceutical, front desk, qualifying and other essential functions that require ongoing communication, training and coordination. The role requires strong multitasking and technical skills to keep track of volunteer’s schedules on a regular basis. The role also requires recruitment skills to attract new volunteers for the clinic.
Principal Duties and Responsibilities- The Director of Volunteers is responsible for the following at both the San Marco and West Jax clinics:
- Responsible for recruitment of volunteers in the medical, clinical support, and administrative areas.
- Responds to all volunteer inquiries and leads on potential volunteers.
- Screens, interviews, credentials and completes application process for all volunteers, including background screening.
- Schedules and presents new orientation monthly for all new volunteers.
- Updates and maintains volunteer information database and volunteer files; trains volunteers on how to sign in and out of Volgistics so hours are appropriately captured.
- Schedules training and shadowing sessions for new volunteers.
- Works with the Clinic Managers, Clinical Director, Medical Directors, and COO to effectively schedule volunteers.
- Communicates VIM policy changes and operational changes to all volunteers weekly.
- Takes all reports of absences and does necessary follow-up or obtains substitutes.
- Develops and implements volunteer recognition and retention techniques including, but not limited to: sending volunteers birthday, get well and sympathy cards and planning volunteer appreciation celebrations (holiday parties, VIM anniversary celebrations, monthly VIM Voice), and service hour recognitions.
- Remains available for clinic tours for potential volunteers or guests.
- Assists with or writes procedures for lay volunteer positions.
- Maintains an environment that is motivational and nurturing for all volunteer personnel.
- Communicates daily with volunteers via e-mail, text, phone and in person.
- Tracks volunteer hours through Volgistics and reviews periodically for individual awards. Reports fiscal year total hours. Orders awards.
- Obtains feedback from volunteers verbally, in writing, and/or through volunteer surveys and resolves issues in a timely manner.
- Oversees the creation of schedule calendars for the current and following month. Posts current calendar schedules with volunteer breakdown by position.
- Maintains records for professional clinical volunteers: licensure, malpractice insurance, current APRN protocols.
- Manages malpractice insurance for volunteer physicians.
- Writes letters of recommendation and/or applications for volunteers seeking graduate or medical school admission. Tracks medical school acceptances.
- Coordinates volunteers for special projects e.g. events, community presentations.
- Assists with and attends VIM events and publicity efforts as needed.
- Works with the CEO to finalize the yearly volunteer budget.
- Submits nominations on behalf of VIM for local and national awards.
Qualifications
- Bachelors Degree
- 2-4 Years experience in non-profit setting working with volunteers
- Experience working with a team

Hours:
- Full time – 40 hours / week Monday-Friday and some Saturdays
Job Type: Full-time
Pay: $50,000.00 - $63,000.00 per year
